Overview:
As a Project Administrator at Marathon you play a vital role in supporting the successful execution of construction projects. This position involves a wide range of responsibilities, from project initiation to closeout, ensuring smooth operations and effective communication among team members.
Responsibilities:
Project Start-up:
- Setup electronic files for projects
- Setup and maintain Project Directory in Procore & Sage
- Schedule Miscellaneous Project Meetings
- Assist with Field Office setup
Accounting / Finance:
- Review and enter budget into Procore and Sage
- Coordinate monthly budget review with team
- Prepare Contract Exhibits
- Prepare and Manage Subcontractor Contracts and Purchase Orders
- Request and Track Subcontractor’s Certificate of Insurance (COI)
- Request and Track Payment and Performance Bonds (if applicable)
- Provide Tax Exempt forms to Subcontractors / Vendors (If applicable)
- Manage Pending (PCO) and process Change Order request
- Review and Process monthly subcontractor and vendor billings
- Collect all required paperwork from subcontractor and vendor in order to process payment
- Prepare monthly owner billing with all necessary paperwork
Assist Project Management Team:
- Coordinate weekly project meetings with key stakeholders
- Assist with drafting Scope of Work
- Prepare project correspondence, RFPs, RFIs, job reports, etc.
- Management and Distribution of Drawing, RFI and Submittal Logs
- Assist with Estimating & Bidding
- Liaison with Stakeholders and Town/City Officials
Project Close-Out:
- Cancel Site Services (water, toilets, internet)
- Prepare Final Change Order Notification to Subcontractors
- Assist Project Management with Certificate of Substantial Completion
- Assemble and Manage Closeout Matrix
- Request Final Subcontractor billings and lien waivers
Qualifications:
- Candidates must have a minimum of 2 years experience in the field
- A bachelors from an accredited College or University a plus, but not required
- Experience with Microsoft Office Suite
- Experience with project software such as ProCore and Sage
- Familiarity with AIA contract, and requisition templates
- Superior communications skills both digitally, and in person
- High attention to detail
- Excellent follow up skills, and determination
- The right person will have a positive, team-oriented attitude, and a desire to learn new skills and conquer new challenges
Benefits & Compensation
Salary $65,000.00 - $75,000.00
