The Town of Marblehead is a historic, coastal community of approximately 20,000 residents, located just 18 miles north of Boston. Marblehead Public Schools District serves a student population of approximately 2,600 students, grades PreK-12, dispersed throughout 2 elementary schools, 1 upper elementary school, 1 middle school, and 1 high school. The District employs approximately 650 faculty and staff members. Marblehead Public Schools is seeking a motivated and experienced person to fill the role of JOB in SCHOOL/DEPARTMENT. The successful candidate will be tasked with the following responsibilities;
REPORTS TO: Principal
RESPONSIBLE FOR: The experienced confidential secretary will provide clerical support to the High School Principal to ensure success in his/her daily work.
PRIMARY RESPONSIBILITIES:
• Answers telephone communications and record accurate messages
•Communicates in a positive and effective manner with staff, administration, students, parents and/or visitors
•Prepares and tracks purchase orders and check requests for all departments and activities/clubs and communicates those to the business office according to protocol
•Orders and maintains forms for the staff. Processes and tracks forms as received, (i.e. personal day, field trip approval, PTO requests).
•Manages all details associated with graduation (i.e. diplomas, diploma covers, caps & gowns, announcements, supervision assignments, programs, flowers, line of march, practice day, reserved seating, etc.)
•Coordinates and supports daily activities and schedule of the Principal.
•Tracks staff observation appointments and completed evaluation forms.
•Creates and distributes staff directory maintains accurate addresses, phone numbers and emergency contacts in Aspen.
•Updates and monitors school website
•Assist with interview scheduling
•Organizes and maintains all staff mailboxes throughout the year.
•Organizes summer staff check-out and beginning of year staff check-in procedures
•Supports all front office activities as necessary
•Performs other duties as assigned
