We are immediately seeking full-time employment of an Accounting & Finance Specialist in our Baton Rouge office. Responsibilities:
- Receive invoices from vendors and process them through a tech-based billing program, ensuring accuracy and completeness.
- Confirm receipt of invoices to vendors and address any inquiries or discrepancies.
- Create and send invoices to customers, both manually for existing customers and automated through our transportation management software for new customers.
- Obtain invoice approvals when necessary and assist in monitoring automated invoicing processes.
- Code all bank transactions correctly for proper financial tracking and reporting.
- Regularly utilize cloud based bookkeeping software to complete financial tasks, such as recording transactions and generating reports.
- Collect W9 forms from vendors and maintain accurate records.
- Assist in mailing checks and letters, as well as making physical deposits when required.
- Support general office duties, including inbound and outbound mail management and stocking of supplies.
- Collaborate with the team to assist with day-to-day tasks as requested.
- Provide assistance in preparing quotes for customers, ensuring accuracy and timely delivery.
Qualifications:
- Accounts payable, accounts receivable and other accounting-based experience is desired but not required
- High school diploma is required
- Bachelor's degree in a related field is a plus
- Excellent organizational and multitasking skills with the ability to prioritize tasks effectively.
- Strong communication skills, both verbal and written, enabling professional interaction with customers and team members.
- Proficiency in Microsoft Office (experience in QuickBooks is a plus).
- Ability to work under pressure and make quick decisions to resolve issues.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and as part of a team, fostering a collaborative work environment.
