Job Summary
We are seeking a dedicated and organized Secretary to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. You will assist in managing schedules, handling communications, and maintaining organized records. This role is essential for facilitating smooth office operations and providing excellent customer service.
Duties include but are not limited to:
- Prepare the quarterly sewer and trash utility billing and stormwater billing.
- Oversee the collection of sewer utility payments, posting of payments to customer accounts, and maintenance of customer account information.
- Collection and management of delinquent accounts. Establishing payment plans for Borough residents and pursuing collection of delinquent accounts.
- Resolve problems and make special adjustments to customer accounts when approved by the Borough Manager.
- Provide the Borough Manager with monthly system reports as requested.
- Attend and record the minutes of the Borough Council meetings as required.
- Maintain the permanent Minutes Books, Resolution Book, and Ordinance Book.
- Prepares for Borough Council meetings by posting and advertising legal notices, assisting with the preparation and posting of the agenda, preparing the Borough Council information packets, preparing monthly reports, and coordinating the filing of ordinances and resolutions.
- Prepare the room for meetings.
- Coordinate annual codification of Borough ordinances.
- Responsible for notifying and confirming the Court Reporter’s attendance at public hearings of the Borough Council and Zoning Hearing Board.
- Set up and maintain files
Other Responsibilities
- Marysville Borough Pool – startup, maintain records, enter data, pool memberships, creating forms, organizing events, etc.
- Parks and Recreation – organize and setup fundraisers, plan events, etc.
- General Clerical Duties including filing.
- Code Enforcement and Zoning: entering data, printing & mailing correspondence, etc.
- Maintain the bulletin board.
- Other or special duties and projects as assigned by the Borough Manager.
Qualifications
- Proficient in Microsoft Office.
- Strong computer literacy and typing skills.
- Excellent organizational and time management abilities.
- Experience in customer service and clerical roles.
- Knowledge of QuickBooks would be helpful.
- Familiarity with multi-line phone systems and phone etiquette
Job Type: Full-time
Pay: $18.70 - $22.00 per hour
Expected hours: 40 per week
