General Position Summary:
Mason, Bruce, & Girard, Inc. (MB&G), a natural resource consulting firm headquartered in Portland, OR., is seeking an exceptionally self-motivated part-time Office Administrator to join our team for about 20 hours per week. The successful candidate will work independently in the office and remotely (hybrid) to assist and support our professional staff with a variety of important needs.
Essential Functions/Major Responsibilities:
- Communication – Act as the point of contact in receiving and sending messages to all employees and to targeted employee groups. Collect and distribute information regarding company meetings and events. Communicate with outside vendors in acquiring and receiving needed services.
- Manage special projects - Work closely with the HR Manager and the company President to manage administrative projects, as assigned. This might entail keeping office and first aid supplies stocked, managing promotional items inventory, coordinating office maintenance, planning large or small company events and parties, tracking employee birthdays and anniversaries, coordinating the movement of furniture into or out of the office or storage unit, researching and helping to implement phone or internet services, disposing of or recycling large quantities of documents, conducting employee surveys, etc.
- Document Support/ Emailing – Assist employees with document and report editing, printing, mailing, emailing.
- Mail Responsibilities - Manage the receipt, sorting, and distribution of incoming and outgoing mail and packages, ensuring timely and accurate delivery. Oversee courier services, track shipments, and notify recipients of package arrivals. Maintain and restock mailing and shipping supplies, including postage, envelopes, and packing materials.
- Company Meetings - Work with management to create Teams meeting invitation for all employees every month, create/update meeting PowerPoint presentations, receive and distribute employee commendations and awards, use your creativity to help plan, implement, and track annual/monthly/quarterly employee contests and challenges.
- Purchasing/Errands – Purchase office supplies, employee gifts, event supplies, first aid and safety supplies. Occasional errands to gather necessary supplies for office or events, or travel to a mailing center or printing provider.
- Guest Reception & Direction - Greet and welcome visitors in a professional and friendly manner, ensuring a positive first impression. Assist guests by determining the purpose of their visit and directing them to the appropriate person or department. Maintain visitor logs and ensure security protocols are followed. Answer and route phone calls, provide general information, and assist with other front desk duties as needed.
Physical Demands:
- Extensive computer use, physical ability to operate a telephone, and sit for extended periods of time, may lift/carry up to 20 pounds.
Travel:
- Travel is primarily local during the business day, and occasional.
Job Skills:
- Proven ability to multi-task and meet multiple deadlines.
- Detail oriented, team player attitude and enthusiasm a must!
- Intermediate to advanced MS Office skills.
- Ability to communicate effectively at all levels of the organization.
Required Education and Experience:
- High school diploma or equivalent
- 2 years of office/administrative experience required
