The business office manager is responsible for the front desk, family billing, accounts payable, managing employee files, completing facility payroll on a bi-weekly basis, and HR-related duties working closely with senior leadership and department managers in the community. This position requires an extremely perceptive person who is capable of relating to individuals at all levels within the organization. The business office manager must be sensitive to employee goodwill as well as community and overall business needs.

Essential Duties and Responsibilities include the following. Other duties may be assigned including planning monthly center-wide events and employee training and appreciation events.

HR Leadership and Employee Relations

  • Acts as an employee relations specialist and resolves employee relations issues promptly, professionally, and appropriately. Conducts effective, thorough and objective investigations.
  • Assists with recruitment tasks as needed including orientation, collecting and approving new hire documents and other assignments.
  • Assists in evaluation of reports, decisions and results of department in relation to established goals. Recommends new approaches and procedures to continually improve efficiency of the department, community and services performed.
  • Manage employee leave process (FMLA, Short Term Disability, and personal leave of absence) and Workers’ Compensation cases.
  • Maintains personnel files and human resource information system records and compiles reports.
  • Maintains compliance with federal, state and local employment and benefits laws and regulations.

Payroll

  • Analyzes, prepares and inputs payroll data. Uses automated systems to produce accurate and timely payroll. Ensures compliance with all applicable state and federal wage and hour laws.
  • Maintains current knowledge of applicable state and federal wage and hour laws.
  • Stays current on payroll systems to achieve alignment with HR benefits and other related and to ensure effective support and auditing.
  • Facilitates management and employee understanding of payroll procedures.

Accounts Payable/Billing

  • Prepares and administers private pay billing for each student.
  • Enters accounts payables in the system accurately and timely.
  • Reviews all invoices for appropriate documentation and approval prior to payment.
  • Acts as liaison between community and corporate accounts payable department.
  • Answers all vendor inquiries.
  • Maintains all accounts payable reports, spreadsheets and accounts payable files.
  • Prepares analysis of accounts, as required.
  • Performs filing and copying.

Other Responsibilities

  • Performs filing and copying.
  • Delivers excellent customer service to family members and students.
  • Provides classroom coverage as a backup when needed.

Physical Demands

  • Must be capable of climbing ladders/stairs using feet and legs and/or hands and arms.
  • Must be able to stoop by bending forward at the waist and bending body downward.
  • Must be able to kneel by bending legs at knees.
  • Must be able to extend hands and arms in any direction.
  • Must be able to stand for sustained periods of time.
  • Must be able to move about independently to accomplish tasks.
  • Must have ability to push using upper extremities to exert force in order to draw, press against something with steady force in order to thrust forward, downward or outward.
  • Must be able to pull using upper extremities to exert force in order to draw, drag, haul or tug objects in sustained motion.
  • Must be capable of lifting objects up to 50 pounds from a lower to higher position or to move objects horizontally from position to position. Requires substantial use of back and upper extremity muscles.
  • Must withstand substantial movements of the wrist hands and/or fingers.
  • Must be able to exert up to 100 pounds of force occasionally, and/or in excess of 50 pounds of force frequently, and/or up to 20 pounds of force constantly to move objects.
  • Must be able to distinguish smell, taste, and temperature.
  • Must be able to assist with evacuation of students and residents.

Qualifications

  • College degree or relevant experience
  • Experience including payroll and resolving employee relations issues.
  • Working knowledge of federal and state employment laws.
  • Proficiency in MS Office and technology related to payroll and accounts payable.
  • Recognized as a credible and professional leader
  • Able to work well independently
  • Able to assist and interact well with others
  • Strong attention to detail
