We're hiring a Coordinator, Museum and Exhibition Services for the Honolulu, HI market. In this role, you'll manage import/export files, coordinate air, sea, and ground freight, and interface with clients, vendors, and government agencies like CBP, TSA, and USDA. As a Coordinator, Museum and Exhibition Services, you’ll play a key role in ensuring artwork and exhibition items are transported safely, securely, and on time. You’ll manage both U.S. and international shipments, coordinate with various stakeholders, and help deliver world-class service to our clients.
ESSENTIAL JOB FUNCTIONS
Prepare shipping estimates and coordinate transportation across air, sea, and ground
Manage import/export files and ensure documentation is accurate and complete
Serve as a point of contact for clients, vendors, and government agencies (e.g., CBP, TSA, USDA)
Track shipments and maintain organized records for each project
Ensure compliance with all company procedures and industry regulations
Collaborate with colleagues in Honolulu and other Masterpiece locations
Support vendor relationships and client satisfaction goals
Use systems like Microsoft Office (Excel, Outlook, Word), FileMaker Pro, and QuestaWeb
Participate in meetings and industry events as needed
Handle other responsibilities as assigned
QUALIFICATIONS
2 years of relevant work experience; logistics, registrar, or related operational experience a plus
Familiarity with U.S. Customs (CBP) and compliance procedures
Strong communication and relationship-building skills
Confidence using tools like Excel, Outlook, and database software
A proactive, problem-solving mindset with strong attention to detail
Willingness to work flexible hours when needed and travel to Los Angeles occasionally

Base Salary Pay Range: $60,000 to $65,000 salaried, non-exempt (eligible for overtime)
We consider a variety of factors in determining base salary, including but not limited to, a candidate's experience, education, certification/credentials, market data, internal equity and geography.
PHYSICAL REQUIREMENTS
The position is in an indoor, office environment, requires the ability to communicate with internal and external customers or vendors verbally and in writing, sit for periods of time, operate typical office equipment which requires seeing and the use of a keyboard.
