Position Summary: The Direct Release Ambassador serves as the primary point of contact for clients traveling to Maui with their pets, ensuring a smooth and efficient experience through the Direct Release program. This role involves guiding clients through the process, maintaining accurate records, coordinating with the Hawaii Department of Agriculture and airline personnel, and assisting with pet inspections upon arrival. The ideal candidate is highly organized, detail-oriented, proficient in communication, and comfortable handling animals to ensure the safety and well-being of pets while providing exceptional client service.

Essential Duties Client Services

• Serve as the primary point of contact for new and returning clients planning their travel to Maui with pets.
• Provide clear, friendly, and confident communication to guide clients through the Direct Release process, addressing all inquiries via phone, text, and email.
• Maintain a high level of client service by building trust, demonstrating empathy, and offering personalized assistance. Consistently go above and beyond to exceed client expectations and ensure their satisfaction.
• Must be comfortable handling dogs and cats to assist clients and ensure the smooth management of their pets during the Direct Release process.

Records and Documentation

• Establish and maintain accurate correspondence files and records related to Direct Release.
• Process and manage all documents required for the arrival of animals, ensuring compliance with regulations.
• Assist the Direct Release Manager in processing inspection paperwork and payments efficiently.

Collaboration and Coordination

• Work closely with the Hawaii Department of Agriculture, as well as airport and airline personnel, to ensure smooth operations.
• Coordinate with the Direct Release Manager to schedule MHS personnel for incoming flights and maintain an adequately trained team for inspections.

General Responsibilities

• Foster a cooperative and courteous team environment by collaborating with coworkers and volunteers across departments.
• Ensure all work areas are kept clean, organized, and safe for animals, staff, and the public.
• Support the agency's mission by promoting and soliciting public support for MHS.
• Participate in disaster preparedness and response activities as needed.
• Maintain a positive public image in alignment with MHS standards.

Skills and Qualifications

• Strong organizational skills with excellent attention to detail and the ability to manage multiple tasks effectively.
• Proficient in Microsoft Office, Google Suite, and other tools required for communication and documentation.
• Ability to consistently meet deadlines and follow up on tasks in a timely manner.
• Effective communication and interpersonal skills for interacting with clients, staff, and external partners.
• Commitment to working safely and reporting any hazards or misuse of equipment promptly.
• Support the preparation of monthly, quarterly, and annual reports, along with other specialized reports as requested.

Working Conditions: Primary work location is offsite (away from MHS) and can be inside/outside depending on the circumstances. Direct contact with animals of varying degrees of handleability. Use of personal vehicle is required for field work.

Equipment Used: General office equipment and company cell phone. Pet-related items (may include leases, collars, harnesses, carriers and/or animal restraint equipment).

Working Hours: This is a part-time position. While the “typical” work week will be 20 hours, the position requires flexibility to cover weekends, evenings, holidays and other emergencies that may arise. Main duties will be covering airport inspections, and fielding phone calls, emails, and text messages when the Direct Release Manager is unavailable.

Physical Demands: This job is a mix of desk/computer/phone work as well as field work, and could require standing for long periods of time. Position also includes car travel to and from the airport as well as MHS. Some lifting is required and generally should be able to lift and carry up to 50lbs.
