What You’ll Do:
- Answer phones in a professional manner as required and direct as appropriate.
- Respond professionally to owner phone communications on time.
- Greet visitors to the MMS office and assist them as appropriate.
- Issue vehicle decals to owners and residents if required.
- Coordinate the “24-hour” list with association gate houses if required.
- Retrieve emails and phone messages from the answering service and distribute them to appropriate personnel.
- Assist Community Assistant with data entry, filing, faxing, photocopying, etc.
- Order and distribute office supplies.
- Open and distribute mail.
- Monitor the fax machine and distribute faxes.
- Office equipment maintenance; prepare monthly reports fax and postage machines.
- Perform other clerical support as required.
Scope:
- Position draws upon all MAY Management’s resources to achieve a very high level of client satisfaction. Incumbent will work with minimal supervision and are expected to be polite, act professionally, prioritize, use common sense, and keep the needs of the clients as a top priority. Failure to perform at professional levels acceptable to the Owners and Associations may adversely affect the reputation of MAY Management.

- Diplomatic; display good common sense.

- Handling phone calls in a professional manner, this person is the “voice and look of MAY Management” and creates the initial impression of MMS.
Education & Experience:
- Minimum High School Diploma or GED.
- Competent with MS Office applications.
- Familiar with VMS.
- Know which associations MMS and the assigned Region serve.
- Know which MMS personnel are assigned to each association.
