Summary:
The Administrative Assistant provides vital support to the department by handling administrative tasks and ensuring smooth operations. The Administrative Assistant plays a crucial role in maintaining accurate records, processing paperwork, and assisting clients and colleagues. Their primary responsible will be administrative duties for property/casualty insurance division of agency.
Essential Duties and Responsibilities:
- Work in Agency software system; input data accurately.
- Assist in processing renewals.
- Efficiently manage incoming and outgoing mail.
- Process certificates/Proof of insurance.
- Serve as point of contact for agents and insureds for questions, assist with messages.
- Assist with day-to-day administrative tasks such as filing, scanning, and data entry.
- Manage incoming and outgoing correspondence, including emails and phone calls.
- Organize and maintain client records, policy documents, and other important paperwork.
- Retrieve and provide information as requested by clients, colleagues, or management.
- Review documents for completeness and accuracy.
- Follow up on outstanding documents or requirements with clients or insurance carriers.
- Address customer concerns or complaints promptly and professionally.
Education and Experience:
- High school diploma or equivalent.
- Experience using computers.
- Proficiency in MS Office applications (Word, Excel, Outlook).
- Data entry skills (preferred).
- Proven experience in administrative support, preferably in the insurance industry (preferred).
