Job Overview: We are seeking a highly motivated and organized Administrative Assistant with Fleet Management Responsibilities to join our team. The successful candidate will provide administrative support to our office team, while also assisting with fleet management duties. The ideal candidate will be detail-oriented, have excellent organizational skills, and be able to prioritize tasks in a fast-paced environment.
This is an entry-level position. Prior experience is not required, however, candidates must be able to work in a fast-paced environment, be able to multitask, and be highly detailed and diligent with their work.
Responsibilities:
Administrative:
- Provide administrative support to the management team, including scheduling appointments, managing calendars, and making travel arrangements.
- Answer and direct phone calls and emails.
- Maintain visitor and guest logs for security and emergency response.
- Scan, print, copy, and laminate as needed.
- Maintain and care for office printer, adding paper and clearing jams as needed.
- Data-entry
- Collect, distribute, and issue out mail.
- Assist with filing, saving, organizing documents.
- Maintain basic cleanliness and inventory of office kitchen, supply closet, and restroom.
- Minimal daily cleaning of common areas (may include taking out trash, refilling water bottles in the fridge).
- Ensure meeting rooms are tidy before meetings, and clean and organize after meetings.
- Any other duties as requested.
Service and Accounting Assistance:
- Call customers to confirm next-day appointments for services.
- Process and invoice service work orders.
- Provide assistance as requested.
Fleet Assistance:
- Maintain accurate driver and vehicle records through Verizon Reveal.
- Coordinate maintenance and repairs for company vehicles and equipment.
- Maintain accurate records of fleet operations and expenses.
- Work with vendors and suppliers to ensure timely delivery of parts and services.
- Run regular reports on driver records and time clock reports.
- Maintain records for regular vehicle maintenance and ensure this maintenance is carried out in a timely manner.
- Shop vendors for repairs or regular services when required.
- Assist with additional tasks as requested.
Qualifications:
- High school diploma or equivalent.
- 2 years of administrative support experience, with experience in fleet management preferred.
- Spanish bilingual highly preferred.
- Excellent organizational skills and attention to detail.
- Strong communication and interpersonal skills.
- Ability to work independently and prioritize tasks in a fast-paced environment.
- Proficiency in Microsoft Office, including Excel and Word.
- Experience with fleet management software is a plus.
- Ability to work in a team environment.
