The MYgroup Receptionist assists with the day-to-day front office operations, including responding to requests for mental health services in a caring and HIPAA-compliant manner. The MYgroup Receptionist handles frequent interruptions and pivots rapidly between multiple tasks. The MYgroup Receptionist works well under pressure, maintains professional courtesy, de-escalates tension, and follows policy while using creativity to solve problems in the moment.
Essential Responsibilities
· Deliver excellent customer service in person, over the phone, and/or via email
· Provide front desk coverage on multi-line telephone console: transferring calls, taking messages, scheduling clients
· Maintain the clinical appointment schedule
· Comply with HIPAA procedures
· Support clinical operations (e.g., file organization, manage supplies)
· Support the daily operations of MYgroup

Qualifications
Required
· High School Diploma or equivalent
· At least 2 years of experience in customer service activities, such as, but not limited to, answering phones, transferring calls, taking messages, and phone-based customer service
· Office management skills, such as, but not limited to, organizing client data, filing client information, providing excellent communication, and developing efficient and effective processes (e.g., data entry and interpretation, client file management)
· Working knowledge of Microsoft Office and ability to learn EAP software
Preferred
· Knowledgeable about or highly familiar with HIPAA and mental health services
· Relevant experience in mental health practice or medical office setting encouraged
· Comfortable working with a team
· Able to multi-task and stay organized under stressful situations
· Possess high emotional intelligence to sense the needs of clients and clinicians
· Demonstrate flexibility as processes change to accommodate the needs of clients and staff
Schedule
· Part time-20 hours per week minimum
· Monday- Friday- 8AM- 5PM with occasional evenings up to 7PM
· Additional PRN availability required
