Job Summary:
MJEC is seeking an experienced administrative assistant/receptionist to manage our front desk. This is a full-time onsite position in Grapevine, TX.
As a receptionist, you will be the first point of contact for our company. Duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
Key Responsibilities:
- Greet and welcome guests
- Direct visitors to the appropriate person, office, and/or conference room
- Answer, screen, and forward incoming phone calls
- Ensure reception area, training room, and conference rooms are tidy and presentable, with all necessary stationery and materials (e.g., pens, forms, and brochures)
- Maintain office directories
- Responsible for incoming and outgoing mail; includes daily trips to PO box
- Keep updated inventory lists for the office, bar, training, and break room areas
- Update company calendar with events, holidays, and employee time off
- Assist with travel arrangements and accommodations for events
- Order and set up delivery of meals for training events and happy hours
- Make fresh coffee every morning (upstairs and downstairs)
- Coordinate pickup/delivery for monthly shoe shine
- Perform other clerical duties such as filing, copying, shredding, assembling sales literature, processing credit references
- Event host behind the bar for company happy hour events (may require to stay late if needed)
- Clean out coffee pots, popcorn machine, and restock kitchen area at the end of each day
- Assist with any other tasks that fall under an Administrative Assistant Role
Qualifications:
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Strong computer skills, proficient in Microsoft Office, meeting and boardroom scheduling software
- Hands-on experience with office equipment (e.g. boardroom video equipment, printers, etc.)
- Professional attitude and appearance
- Strong communication (written and verbal) and interpersonal skills.
- Excellent problem-solving skills and proactiveness and attention to detail.
- Excellent organizational skills
- Ability to work independently and as part of a team.
- Multitasking and time-management skills, with the ability to prioritize tasks
- High school degree: additional certification in Office Management is a plus
Salary Range:
- The anticipated salary range for this position is between $40,000 - $54,000 a year. Base ranges may vary by relevant experience, education, certifications, and seniority as compared to others doing substantially similar work. There is no guarantee an offer will be at the top of the posted range based on the salary analysis.
