Our Outage Service Division in Latham, NY is seeking an on-site Project & Billing Coordinator who will be responsible for working with Operations to manage the invoicing and administrative tasks of jobs as well as planning and executing events and conferences.
In this role you will :
- Prepare weekly time and materials project billings with corresponding backup, invoice entry into ERP
- Plan / execute / track and manage costs for events / conferences as needed, including in office visitors / lunches, etc.
- Review and process Concur expense reports, answer questions as needed, new hire orientation
- Make sure all job costs are being accurately applied to jobs
- Reconcile invoices AP and AR and identify discrepancies
- Work closely with finance and operations managers to correctly cost and invoice jobs
- Communicate with the field and Ops to invoice customers extra work orders in a timely manner
- Enter PO requests as needed
- Make job adjustment entries into ERP for field time worked
- Assist VP with travel, Concur, managing schedule, etc.
- Manage Safety swag, and Field Rep clothing requests
- Shipping as required
