Your Role as Operations Assistant & Dispatcher:
As our Operations Assistant & Dispatcher, you will play a crucial role in the efficient and effective daily operations of our business. You will collaborate closely with the Director of Operations and interact with various internal and external stakeholders to ensure smooth service delivery.
Key Responsibilities:
- Operational Collaboration: Work directly with the Director of Operations to support and optimize daily business operations.
- Mailback Program Oversight: Manage the end-to-end fulfillment process for our mailback program, coordinating with a 3PL provider, handling fulfillment, tracking shipments, resolving issues, and generating reports.
- Policy Compliance: Ensure adherence to company policies and procedures by our route drivers, maintaining high operational standards.
- Efficient Routing & Dispatch: Manage the routing and dispatching of local operations to maximize efficiency and accuracy.
- Driver Support & Communication: Serve as the primary point of contact for route drivers, providing guidance, support, and fostering improved performance and efficiency.
- Customer & Vendor Liaison: Assist in the seamless setup of new customers and maintain clear and professional communication with vendors. Respond promptly to customer and vendor inquiries via phone and email.
- Local Waste Collection (as needed): Operate a company vehicle safely and compliantly to pick up medical waste from customer locations when required.
What You'll Bring to the Team:
- Professional Experience: Previous experience in a business work environment is highly valued.
- Industry Awareness: Familiarity with healthcare services or related industry practices is a plus.
- Exceptional Communication: Strong verbal and written communication skills with the ability to interact professionally and effectively with diverse audiences.
- Technical Proficiency: Required proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Meticulous Attention to Detail: Outstanding attention to detail to ensure accuracy in all tasks and adherence to policies.
- Adaptability & Agility: Ability to thrive and effectively manage tasks in a fast-paced and dynamic work environment.
- Relevant Experience: At least 1 year of experience in route dispatch and/or warehouse operations is preferred.
- Driving Expertise: Minimum of 2 years of experience driving trucks or commercial vans with a clean driving record.
- Professional Presentation: Commitment to maintaining a professional, yet casual, appearance.
- Flexible Schedule: Availability to work a 5-day shift, including Saturdays on an as-needed basis.
- Physical Capability: Ability to lift a minimum of 50 lbs.
- Successful Screening: Must successfully pass pre-employment screening.
