General Summary of Position

All associates are accountable for their role in meeting patient experience standards. Provides direction and oversight to the front desk personnel. Responsible for all aspects of work flow in the department including accounts receivable activity.

Primary Duties and Responsibilities

  • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations.
  • Assists quality assurance director with ensuring that risk management policies are followed.
  • Maintains as much as possible high morale among staff through troubleshooting, tactfully and openly communicating personnel issues with administrative staff as appropriate, developing confidence in ability to handle crisis and solve problems.
  • Responds to problems and requests from patients, referring physicians and GT physicians providing information and giving directions as needed. Maintains managed care updates, attends GUH meetings to remain current with carrier specifications
  • Oversees all aspects of daily workflow. Supervises secretaries. Coordinates administrative support for technical and medical staff. Completes performance evaluations for front office staff. Works with physician and senior therapist to develop efficient, effective procedures. Intervenes when crisis or unusual situations occur.
  • Manages all aspects of new patient records to assure that all items are in the electronic chart. Verifies insurance coverage. Monitors all new patient, follow-up and implant scheduling activity.
  • Secures authorizations and pre-certifications as necessary per carrier specifications. Identifies insurance carrier requirements for authorizations and referrals at consultation. Interacts with insurance companies and managed care organizations. Interacts with insurance companies and managed care organizations.
  • Manages all aspects of charge entry; AR. Enters data daily using appropriate software programs
  • Manages TOS Collections and sends reports monthly
  • Audits the technical account monthly and corrects errors.
  • Prepares fee discussion for individual patients according to established guidelines.
  • Coordinates with PET Site Champion to offer patient experience and teambuilding activities
  • Prepares schedules and patient information for medical correspondence. Supports physician dictation including downloads and formatting, referring physician, tumor registry and chart copies. Prepares and submits (daily) to transcription supervisor pertinent information for medical correspondence.
  • Assists Radiation Oncology Medical Director and Radiation Provider(s) with letters; reports; calendar management and other support related to radiation oncology functions.
  • Oversees preparation of charge report for submission to UBS.
  • Participates in daily administrative and clinical huddles. Participates in quarterly office manager meetings. Participates in center Ops Meetings. Attends hospital management conferences as necessary. Participates in meetings and on committees and represents the department and hospital in community outreach efforts. Participates in multi-disciplinary quality and service improvement teams.
  • Performs other duties as assigned.
  • Performs secretary duties in his / her absence. Oversees associate and administrative needs. Ability to mentor and coach as necessary.
  • Assists all new associates with orientation to specific office policies. MedStar policies will be discussed at general orientation. RadAmerica policies will be discussed at RadAmerica orientation.
  • Coordinates the ordering of clinical and administrative supplies. Coordinates physical plant repairs and updates with building manager.

Minimum Qualifications

Education

  • High School Diploma or GED required or
  • equivalent required and
  • Associate's degree business courses required or
  • administrative / secretarial training preferred and
  • knowledge of medical terminology required and
  • knowledge of ICD-10 coding. required
  • Experience

  • 3-4 years Administrative / secretarial experience, including experience with medicare, blueshield, medical assistance and miscellaneous carriers required and
  • 1-2 years Personnel management. required and
  • Account resolution and supervisory experience required
  • Knowledge, Skills, and Abilities

  • Medical terminology as well as ICD and CPT coding.
  • Familiar with navigating in EMR / HER and billing software : ie : MOSAIQ, SMS, G4, Invision, ARIA, MedConnect and / or Cerner.
  • Data entry skills.
  • Working knowledge of various computer software applications.
  • Verbal and written communication skills.
  • This position has a hiring range of $28.2 - $47.3
