About the Role
We are looking for a friendly, professional, and customer-oriented Front Desk Associate to be the first point of contact for our organization. This role is essential in creating a welcoming atmosphere for guests, clients, and employees while ensuring smooth daily front desk operations. In addition to managing reception duties, the Front Desk Associate will support various administrative tasks to assist different departments as needed. This includes scheduling, data entry, document management, and coordinating office activities to maintain an efficient work environment.
Key Responsibilities
- Greet and assist visitors with a warm and professional demeanor.
- Answer incoming phone calls, direct them to the appropriate departments, and take messages when necessary.
- Manage check-in and check-out procedures for guests or clients.
- Maintain a clean, organized, and presentable front desk area.
- Handle basic administrative tasks, such as data entry, filing, and scheduling appointments.
- Assist with preparing reports, documents, and correspondence.
- Coordinate meeting room reservations and set up conference rooms as needed.
- Respond to inquiries via phone, email, or in person, providing accurate information.
- Receive and distribute mail, packages, and deliveries.
- Assist with office supplies inventory and ordering as needed.
- Support various departments with administrative tasks, special projects, and office coordination as assigned.
- Ensure confidentiality and proper handling of sensitive information.
Qualifications & Skills
- High school diploma or equivalent (Associate’s or Bachelor’s degree is a plus).
- Prior experience in customer service, hospitality, or administrative roles is preferred.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment.
- Ability to handle confidential information with discretion.
- Positive attitude and ability to work in a fast-paced environment.
Job Type: Full-time
Pay: $16.00 - $19.00 per hour
Expected hours: 40 per week
