Overview :
Bedrock Rehabilitation and Nursing Center at Melbourne is seeking a dedicated, detail-oriented Admissions Coordinator to join our dynamic team. In this pivotal role, you will work closely with the Admissions Director to ensure a smooth and efficient admissions process while supporting the growth of our facility. Key Responsibilities :
- Lead the Admissions Department in the absence of the Admissions Director
- Support the Admissions Director with daily tasks and responsibilities
- Participate in Morning Report as needed by the Director / Administrator
- Complete daily AM census and End of Day (EOD) reports promptly
- Act as the main communication link for Admissions-related information within the interdisciplinary team
- Prepare and review Admissions Agreements for new admissions
- Ensure 100% compliance with audits, including PRI, screenings, Admissions Agreements, and PRI logs
- Respond to referral sources (Allscripts, Navi, faxes) within a 15-30 minute timeframe (90% response rate)
- Perform data entry and upload into Sigma and billing systems before each new admission
- Collaborate with marketing and outreach teams to drive census growth
- Engage with families to convert referrals and highlight the facility’s strengths
- Stay informed on the facility's clinical capabilities, policies, and marketing points to provide accurate information to families
- Understand insurance, payor sources, disenrollments, and SNF finances
- Handle incoming calls, directing inquiries, and assisting with insurance-related questions
- Maintain and update the hospitalization list and collaborate with outreach and social work teams
- Assist in preparing for new admissions, including chart preparation, room arrangements, and equipment coordination
- Work with nursing, housekeeping, and concierge teams to ensure readiness for new admissions
- Help prepare literature, giveaways, and manage inventory for the outreach team
- Send admission alerts and gather necessary financial and relevant information during intake
- Assist with family tours and participate in meetings as needed or when the Admissions Director is unavailable
- Report departmental concerns to the Admissions Director
- Perform general administrative tasks as required
- Be available outside of regular business hours when needed
