What are the responsibilities and job description for the Administrative Assistant | Maintenance, Full-time position at Memorial Hospital of Union County?
We are looking for an Administrative Assistant to join our collaborative team at Memorial Health!
What You'll Do:
Performs administrative functions for the Plant Operations department; maintains and updates policy manuals; prepares correspondence and reports; tracks project and productivity hours; maintains employee records on competencies, vacation, sick time used and training; develops and documents compliance with Standards for accrediting body /Det Norske Veritas (DNV) standards; tracks staff schedules.
Reviews and processes purchase requisitions; prepares purchase orders for non-stock and non-file items; assists internal customers with purchasing needs; processes products to be returned to vendor with correct paper work and copies of PO’s, and the associated paperwork; manages/tracks gasoline credit cards, obtains required information on purchases (i.e, Material Safety Data Sheet (MSDS), etc.) Manages usage and orders/reorders supplies to ensure availability; interacts with vendors and sales personnel to obtain pricing; responds to complaints and initiates correspondence and telephone with vendors and supplies to resolve problems.
Manages Hospital Equipment Management System (HEMS) the work order tracking system) for the Hospital and Outbuilding; enters work orders and system updates for equipment repair, preventative maintenance and work order status; assigns control numbers to new equipment; conducts customer follow-up. Schedules facility inspections for the Hospital and Outbuildings (i.e. fire alarm, sprinkler, Ansul system, fire extinguishers, helipad system, etc.) and documents compliance for Standards for accrediting body /DNV and state/federal regulations; performs monthly testing of baby abduction system (HUGS) with assistance from Plant Operations Technician.
Requirements
Completion of high school education and two (2) years experience in a secretarial position. Previous plant operations experience preferred, but not required. Knowledge of general maintenance functions.
