The Administrative Assistant performs a variety of administrative, clerical, and communication-focused tasks. This role provides high-level support to MHAST administration and employees, ensuring smooth daily operations while facilitating efficient collaboration and effective communication across all levels of the organization. Additionally, the position assists in managing organizational changes by supporting communication, implementation, and alignment efforts to foster a productive and cohesive work environment.
Duties and Responsibilities: Administrative Support (50%)
- Provide general administrative support, including data entry, filing, and document management.
- Prepare and format reports, memos, and presentations to support executive-level decision-making.
- Schedule and coordinate meetings, ensuring agendas reflect organizational updates and priorities.
- Organize and maintain electronic and paper files for easy access and reference.
- Process expense reports and reimbursements in line with company policies.
- Arrange travel itineraries, accommodations, and transportation for staff or executive as needed.
- Assist with planning and organizing office events, staff activities, and meetings.
Change Management and Communication (25%)
- Serve as the primary point of contact for communicating updates or organizational changes to staff.
- Assist senior leadership in drafting and distributing change-related communications, such as policy updates, process adjustments, or restructuring announcements.
- Monitor the impact of changes and collect staff feedback to identify areas needing additional support or clarification.
- Coordinate training or informational sessions to ensure successful implementation of changes across teams.
- Maintain records of change initiatives, timelines, and associated materials.
Reception & Clerical (25%)
- Greet and welcome visitors in a professional and friendly manner.
- Manage incoming communications, including calls and inquiries, and direct them to the appropriate individuals.
- Maintain a clean and organized reception area and office space.
- Handle incoming and outgoing mail, packages, and deliveries.
- Support light housekeeping tasks to maintain a professional and organized office environment.
REQUIRED QUALIFICATIONS:
- Associate Degree in Business/Human Resources or related field (bachelor’s degree preferred)
- Two or more years of professional/executive office management experience
- One of more years of experience as a human resource generalist or performing human resource support functions
- Successfully complete all required background and reference checks
- Complete all state/agency required trainings during orientation period, and annually, as required
- Maintain strict confidentiality
- Support the mission and vision of MHAST
