Job Description:

This is a temporary, projectbased role, expected to last until September, 2024

Location: Houston, Texas

Do you have experience working on a construction site? Do you have crackerjack project management skills? How about experience working with artists? Meow Wolf is on the hunt for an energetic and talented Flex Coordinator to support Flex Producers and Flex artists in managing and monitoring the installation of Flex art within the exhibit. The Flex Coordinator is responsible for effectively documenting installation progress within scope, assisting with keeping installation timelines on track, and for disseminating information to and between departments, creative stakeholders, and project leadership.

Requirements
You will provide stellar support to the Flex team, which will ultimately lead to an amazing immersive art experience for our guests.

How you will do it...

• Collaborate with Flex Producers, Flex Production Designers, and Artist Liaison on assigned Flex projects, providing support according to their needs.

• Partner with Flex Producers to help find creative solutions to problems as they arise.

• Assist in the creation of project closeout documents as needed and follow through the signature process.

• Support Flex Producers with team check-ins, interdepartmental communication, scheduling meetings, and schedule tracking.

• Support Flex artists through check-ins and meetings, in coordination with Flex Producers.

• Perform project-based errands and ordering as requested.

• Coordinate with onsite construction Project Manager and Flex Producer to determine construction conflicts as it relates to installation schedule.

• Track notes for daily site meetings and follow up with team members to ensure comments are captured quickly and efficiently.

• Facilitate and monitor meetings and other communications to ensure timely issues resolution; E.g., collect issues, prepare agendas, ensure agenda items are addressed, and record and share meeting notes.

• Track and maintain open/action item lists for the Flex team.

• Coordinate with the Senior Art Installation Manager for Flex installation needs.

• Oversee shipping logistics of on-site arrival of any Flex team elements needed for installation, in coordination with Logistics department and site leadership.

• Oversee and maintain documents required for Flex team installation including but not limited to SDS, safety certifications, etc.

To be successful in this role...

• You bring a minimum of 2 years in production or project management.

• You have solid organizational, written and verbal communication, collaboration, interpersonal skills and management skills.

• You possess a strong work ethic, positive attitude, and ability to work collaboratively as part of a large creative team.

• You have the ability to work effectively under pressure, meet deadlines and drive projects to completion, particularly within complex schedules.

• You are equipped with experience working in an environment where discretion regarding sensitive or confidential information was required.

• You come to the table with knowledge of document management, transcription and other administrative procedures.

• You must possess an in-depth knowledge of core platforms and programs as they will be utilized on a daily basis:

  • Google Suite

  • Microsoft Office

• Desired experience with:

  • Airtable

Work environment and physical demands...

• This position is based in Houston, Texas, and a company laptop will be provided.

• This is a full-time position averaging 40 hours a week, Monday to Friday, 9 am to 5 pm CT - occasionally requiring flexibility to work during evenings or weekends based on business needs, as well as travel to off-site locations.
