Mercer Construction Company LLC. seeks a qualified candidate for one Office Manager/Bookkeeper position. Candidate must be a highly motivated, independent worker capable of managing several tasks with low supervision. An associates degree in a related field is preferred. Five years of office management experience and bookkeeping experience are preferred.

ACCOUNTS PAYABLE

* Accounts Payable - all aspects including processing invoices, general ledger coding, verifying expenses

and issuing payments

* Prepare annual Form 1099 & 1096 for vendors/subcontractors

* Credit Card Reconciliations

* Process credit card receipts

* Maintain vendor files - including W-9's

ACCOUNTS RECEIVABLE

* Prepare client billing, generate invoices and track payments

* Maintain job expenses for open book billings

* Prepare and make bank deposits

* Generate Client Statements (if necessary)

PAYROLL

* Payroll Processing with ADP

* Payroll Entry in Sage for Job Costing

GENERAL BOOKKEEPING

* Bank Reconciliations

* Facilitate audits - Insurance, Sales Tax

* Manage insurance records for Mercer

* Sales Tax Reporting and Returns

* Job Cost accounting

* Create/update/manage spreadsheets

* Generate financial reports and job cost reports.

* Work with external sources for tax filings and audits.

* Journal Entry Transactions

* Period/Fiscal Year Management

CONSTRUCTION INDUSTRY SPECIFIC

* Manage insurance records for subcontractors

* Maintain project budgets, track expenses, and assist with job cost reporting.

* Monitor contracts, change orders, and lien waivers.

* Work with project managers to ensure accurate financial tracking and reporting.

* Assist with bid preparation and proposal documentation as needed

* Cost Tracking and Allocation - assign to Job costs and allocate to labor, materials, equipment and

subcontractors

* Track Time and Labor for billing

* Track subcontractor invoices - verify they are contracted amounts and assign to Job

OFFICE MANAGER/BOOKKEEPER TASKS

OFFICE MANAGEMENT

* Answering Phones and Emails: Respond to inquiries, direct calls, and manage correspondence with

clients, vendors, and staff.

* Filing and Organization: Maintain physical and digital records, including contracts, invoices, and other

documents.

* Data Entry: Input information into spreadsheets, databases, or company software.

* Ordering Supplies: Monitor office inventory and place orders for necessary supplies or equipment.

* Mail Management: Sort, distribute, and prepare outgoing mail or packages.

* Visitor Management: Greet and assist visitors

Job Type: Full-time

Pay: $60,000.00 - $70,000.00 per year
