Job Description
META Planning & Design LLC is a leading planning firm providing a wide range of land planning consulting and design services in the Greater Houston development market. We are currently recruiting for an entry level Receptionist/ Administrative Assistant. The position provides many opportunities to learn within a growing, vibrant and team-oriented environment.
Role and Responsibilities
The duties will vary as experience is developed and new responsibilities become priority. The employee will need to be flexible to adapt to suddenly changing META needs, but the primary duties will be as follows:
- Answer and direct phone calls.
- Greet guests in a professional, friendly, hospitable manner and provide general support.
- Coordinate meeting room reservations and manage set-up of meeting room for clients and internal meetings including meeting material (as needed), ordering lunch and all clean-up.
- Coordinate Couriers, Hour Messengers, Package mailing/delivery.
- Communication with clients, vendors, etc.
- Assist with planning office events: reserving venue, catering, invitations, etc.
- Drafting and transcribing emails, correspondence, documents and forms.
- Assist in maintaining contact list up to date.
- Assist with documentation or document edits as needed, including printing, copying and scanning.
- File management including organizing and managing documents, updating binders and filings.
- Office maintenance including kitchen, office plants and other tasks as needed.
- Maintain all office supplies – kitchen, office, marketing, coffee, beverages, etc.
- Assist in running company errands
- Assist on any ad-hoc tasks as required by META Staff
Qualifications and Education Requirements
- Attention to detail and problem-solving skills.
- Ability to multi-task and exercise initiative and good judgement.
- Excellent time management skills and ability to prioritize work.
- Punctual, consistent, reliable and patient.
- A solid knowledge of MS Office Suite (Office, Excel, PowerPoint, etc.).
- Able to work well both in a team environment and independently.
- Flexible and adaptable to changing work demands, volumes and schedules.
- Strong written and verbal communication skills.
- Excellent accuracy and organizational skills.
- High School diploma or GED equivalent
Preferred Skills and Additional Notes
- Receptionist/ Administrative Assistant experience will be a plus but not required.
