What are the responsibilities and job description for the Lower School Administrative Assistant position at Metairie Park Country Day School?
The Lower School Administrative Assistant will provide administrative support to the lower School Principal, faculty, and staff. This position requires strong organizational and communication skills, as well as the ability to multitask and prioritize tasks effectively. This position is a full time, 12 month, non exempt position that will begin on 7/1/2025.
Responsibilities:
- Provide administrative support to the Lower School Principal, including managing the Principal's calendar, scheduling appointments, sending push pages, and preparing materials for classes and meetings
- Maintain the Lower School calendar
- Assist with the coordination of Lower School events, including, but not limited to: Parent Night, parent coffees, orientations, musical programs
- Maintain accurate and up-to-date student records, including tardies and attendance, using the school's student information system
- Manage the Lower School office, including answering phone calls, responding to emails, and greeting visitors
- Assist with the coordination of all dismissal information and approved pick-up lists through the SchoolPass management system.
- Assist with the coordination of Lower School field trips
- Order supplies for the Lower School workroom and maintain inventory of office supplies.
- Secure substitutes in order to assure adequate coverage; orient substitute personnel and provide keys and pertinent information
- Prepare and submit purchase orders and work orders as assigned; prepare reimbursement requests, deposits, and receipts according to established procedures.
- Prepare weekly bulletins
- Help with weekly submissions to Occurrences
- Manage parent conference sign-up process
- Make randomized lunch tables every six weeks
- Submit bi-weekly payroll for subs
- Develop forms and materials for summer distribution.
- Create and update class lists and student counts.
- Perform other duties as assigned by the Lower School Principal
- Supporting the Mission of the School and its leadership Qualifications:
- High school diploma or equivalent required; associate's or bachelor's degree preferred
- Strong organizational and communication skills
- Ability to multitask and prioritize tasks effectively
- Proficient in Microsoft Office, Google Suite, and student information systems
- Ability to maintain confidentiality and handle sensitive information with discretion
- Ability to work independently and as part of a team
- Previous experience in an administrative support role is preferred
- Understanding of and commitment to the mission and values of the school
