Office Manager/Administrator

Key accountabilities for MFA and affiliate firms:
- Responsible for general office operations, such as internal accounting, office equipment and supplies, benefits administration, and payroll coordination.
- Generate and source cost savings analysis and plans for office supplies, etc
- The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and accuracy.
- May also coordinate firm website or other marketing tools.
- Coordinate client events, marketing and event planning
- Ability to communicate with co-workers, customers, and various business contacts in a courteous and professional manner
- Ability to organize, prioritize, and handle multiple tasks
- Answer and direct phone calls, take messages, and respond to inquiries
- Greet and assist visitors to the office
- Familiarity with human resources processes and procedures
- Knowledge of QuickBooks or similar accounting software is a plus
- Strong calendar management and schedule coordination abilities
- Ability to pay close attention to detail, work under pressure and meet deadlines
- Excellent time management skills and ability to prioritize work
- Handle travel arrangements for team
- Shield client confidentiality in all situations. Anticipate potential problems and alert leadership team necessary.
- Strong analytical skills with ability to perform semi-advanced math
- Excellent communication skills
- Strong organizational skills Detailed with an emphasis on accuracy
- Excellent written skills
- Other duties as assigned.
Qualifications:
- The Office Manager must have several years of recent office manager experience in the financial service sector. He/she must be a self-starter, organized and very professional in all aspects of business management and relationships. Skill in operating various office equipment including personal computer, fax machine, copier, ext. Skill in utilizing various software packages such as Microsoft Office. Skill in verbal and written communication
- Associates or Bachelor’s degree in finance or related field preferred. Demonstrated related experience may be substituted for preferred education.
- Minimum of five (5) years of experience within the financial industry preferred.
- Minimum of one (5) year of experience within an office management/admin role.
- Salary based on experience.
