MG Enterprises is seeking a high-performance Executive Assistant to drive efficiency, manage critical scheduling and logistics, and ensure executive operations run without disruption. This role is responsible for keeping leadership focused on high-value priorities by eliminating distractions, managing real-time decision-making, and executing day-to-day operational needs with precision.
What You’ll Own & Deliver
- Seamless Calendar & Scheduling Execution
- Own and optimize leadership’s schedule, ensuring all commitments, meetings, and priorities are managed without conflicts.
- Communicate proactively with internal teams and external contacts to ensure all obligations are met.
- Lead weekly priorities meetings to prevent last-minute changes and reactive decision-making.
- High-Impact Travel & Logistics Management
- Book and coordinate all travel, including flights, hotels, ground transportation, and reservations with zero disruptions.
- Provide leadership with daily briefings on travel plans, ensuring full alignment.
- Capture and track commitments made during travel to ensure follow-through.
- Operational & Administrative Efficiency
- Own executive inbox and communication channels, ensuring critical tasks are prioritized and distractions are eliminated.
- Maintain proactive communication with team members to ensure all business priorities move forward without leadership involvement.
- Manage marketing-related obligations (interviews, media appearances, podcast scheduling) to maximize exposure and opportunity.
- Task & Priority Management
- Implement and maintain a centralized system (Asana, ClickUp, Notion) to track all leadership commitments.
- Conduct daily reviews to ensure all priorities are being executed effectively.
- Prevent last-minute scrambles by ensuring all commitments are anticipated, documented, and acted upon.
- Proactive Problem-Solving & Execution
- Identify and resolve operational bottlenecks without requiring oversight.
- Adapt rapidly to shifting priorities, ensuring leadership is always informed and prepared.
- Work cross-functionally with internal teams to ensure seamless execution of projects and initiatives.
