Position Summary: This position reports directly to the HR Director and is responsible to ensure compliance with the grants regulatory requirements for each employee and department. For example, the coordinator is responsible for maintaining training master list, dates of completion and renewal with related compliance responsibility.
Essential Duties and Responsibilities include the following, but not limited to:
· Ensures compliance with the grants regulatory requirements for each employee and department.
· Manages training and certification master list for approximately 100 employees.
· Performs internal audits of employees’ training and certifications.
· Maintains open communication with all departments on background policies and procedures.
· Ensures accuracy and that all paperwork is in compliance with regulations from FDOT and DCF.
· Assists with conducting audits of Background files and with Transportation & Facilities Department to ensure external audit compliance.
· Assists with distributing and filing pre-employment drug notifications and test results.
· Uses reports and metrics to verify that all active employee and contractor files are accounted for and are in compliance with grants and government regulations.
· Assists with E-Verifying all new hire I-9 Forms in US DHS database.
· Verifies that I-9 have been completed correctly.
· Verifies Government issued ID's in person.
· Communicate with vendors to ensure accurate employee information has been provided and verified.
· Works with HR Director to collect and provide appropriate employee data, or any other HR related information, for grants and contracts.
· Works with HR Director to coordinate staff trainings to support organizational development.
· Works with HR Director to ensure that employee files are current with all documentation which includes training validation, such as, certificates.
· Maintains high degree of confidentiality in dealing with employee records and business information.
· Performs other duties as assigned or required.
Qualifications:
· Bachelor's degree in Human Resources, Business or related field.
· At least three years of relevant HR or Compliance work experience.
· Knowledge and experience in Human Resources functions.
· General knowledge of federal, state and local employment laws and regulations.
· PHR or SHRM-CP certification preferred.
· Ability to communicate effectively in verbal and written English.
· Must be bilingual in English and Spanish.
· Excellent interpersonal and organizational skills.
· Proficient in use of computers including Word, Excel, Outlook and Internet research.
· Excellent time-management, decision-making, problem-solving, and analytical skills.
· Ability to establish and maintain effective working relationships with individuals at all levels of the organization.
· Ability to work accurately with close attention to detail.
· Ability to exercise professional judgment while maintaining a high degree of discretion when dealing with confidential information.
· Must be able to successfully pass a criminal background and a drug test screenings and any other required employment related tests.
