Responsibilities Will Include:

This position is responsible the daily operations, functions and duties of the staff scheduling office for the skilled nursing center (SNF), the assisted breathing unit (ABU), and the Home of The Aged (HFA). Ensures that communication of information, both internal and external, is maintained at an appropriate level.

This position also provides clerical / secretarial support for Human Resources.

  • Developing and coordinating hourly employee work schedules for the skilled nursing facility, the assisted breathing unit, and for the home of the aged according to departmental policies and procedures.
  • Developing and coordinating new hire / orientee work schedules.
  • Developing and coordinating agency staff work schedules.
  • Developing and coordinating CNA and Wellness Assistants (WA) work schedules according to the collective bargaining agreement.
  • Contacting Nursing Leadership or Director of Residential Services and Human Resources if any concerns are identified regarding compliance with the collective bargaining agreement related to staffing and scheduling.
  • Obtaining Nursing Leadership or Director of Residential Services approval regarding PTO and trade requests. Ensures that the approved changes are placed on the schedule as appropriate and provides available employee PTO balance information to Nursing Leadership or Director of Residential Services for the PTO approval process.
  • Obtains Human Resource Manager / Human Resource Generalist approval in collaboration with Nursing Leadership and Director of Residential Services of “final” work schedule prior to posting of new work schedule.
  • Posting work schedules at least two (2) weeks prior to each new work schedule start date without vacancies and with minimal overtime.
  • Scheduling appropriate daily staffing levels based on census. Calculating and providing Hours Per Patient Day (HPPD) information to the Nursing Home Administrator and to Nursing Leadership.
  • Tracking and reporting overtime to Nursing Leadership or the Director of Residential Services and the Nursing Home Administrator.
  • Providing Nursing Leadership or Director of Residential Services of employee negative PTO balances each pay period.
  • Providing a master work schedule to Nursing Leadership or Director of Residential Services once finalized and approved.
  • Completing and maintaining daily staffing assignment sheets / clipboard schedule.
  • Contacting employees to fill vacancies in the work schedule using minimal overtime.
  • Processing and verifying approved work time in KRONOS and ensures this information is provided to the Payroll Department on a timely basis after Nursing Leadership, Director of Residential Services, and Human Resources approval.
  • Providing appropriate information to other departments as appropriate in order for those departments to complete other functions (i.e., HR-Absences, etc.).
  • Tracking employee attendance and informing Nursing Leadership, Director of Residential Services, and Human Resources at the end of each pay period of attendance disciplines that are due.
  • Assisting with the scheduling of trainers/preceptors for new hires / orientees.
  • Informing Nursing Leadership, and Director of Residential Services, and Human Resources on a daily basis of any staffing concerns.
  • Performing administrative duties and requirements such as completing necessary forms, reports, etc. including staffing reports for the State.
  • Maintaining daily schedules according to policy.
  • Preparing confidential reports, statistical and financial data as directed.
  • Maintaining an accurate list of CNAs, WAs and Nurses who have been mandated, who have been staff reduced, overtime rotations, and other monitored staffing changes and information.
  • Maintaining accurate and up-to-date employee contact information.
  • Building and maintaining a positive relationship with staff.
  • Providing new employee information to Nursing Leadership, Director of Residential Services, and Human Resources.
  • Operating computer software programs and telephone and voice mail system as required.
  • Answering employee staffing related questions or refer to appropriate resource in a timely manner.
  • Developing and maintaining a good rapport with all departments within the facility to assure that administrative services and activities can be properly maintained.
  • Maintaining confidentiality of all personnel transactions and Human Resources issues.
  • Performing key clerical/secretarial functions as required for the Human Resources Department.
  • Performing other duties as assigned.

Qualifications:

  • A high school diploma or general education degree (GED) required.
  • An associate degree in a secretarial curriculum or related field preferred.
  • Relevant secretarial/clerical experience, or a combination of education and experience from which comparable knowledge and skills are acquired.
  • Scheduling experience strongly preferred.
  • Experience working in a health care setting preferred.
