We are seeking a highly organized and proactive Office Coordinator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks and supporting the overall efficiency of our organization. Responsibilities
The Office Coordinator is responsible for providing administrative support to all departments as well as responsible for coordinating office operations to include:
- Answering phone calls, transferring callers as appropriate
- Greeting customers and visitors to the office, ensuring guests are comfortable and are connected with the right office personnel
- Accommodate deliveries
- Overseeing organization of office storage areas
- Managing coordination with departments in preparation for meetings
- Monitoring and ordering inventory for office, break room supplies, and specific department needs
- Managing incoming and outgoing correspondence, including emails, mail and packages
- Filing and organizing records, invoices and other important documentation
- Overseeing organization of office storage areas, monitoring office space, and ensuring the office is clean and functional
- Coordinating maintenance and repairs—scheduling repairs for general office space and ordering repairs for office equipment and maintenance, connecting with and working with vendors
Requirements
- Proven experience in an office coordination or administrative role.
- Strong clerical skills with proficiency in Mac computers and Microsoft office software applications.
- Excellent organizational skills with the ability to manage multiple priorities simultaneously.
- Strong communication skills, both verbal and written, with a focus on professionalism.
- Ability to work independently as well as part of a team in a collaborative environment.
