Overview
The Receptionist/Office Assistant will work in the office full-time Monday – Friday. This person will be responsible for organizing and coordinating office operations and procedures ensuring organizational effectiveness and efficiency. This person will also be responsible for administrative and office support activities, including but not limited to answering and fielding telephone calls, directing visitors, receiving mail and supplies, shipping items, mail management, scheduling/coordinating conference rooms, assisting with facility appearance, coordinating with building maintenance, word processing, filing, and faxing. Other duties may be assigned.
Responsibilities
Receptionist:
- Answer phones and forward calls, as necessary
- Provide phone updates as needed
- Welcome guests politely and professionally
- Maintain the visitor log ensuring that visitors are logged-in and out to follow the proper security procedures and assign badges to visitors
- Arrange amenities as needed
Office Administration:
- Manage incoming and outgoing mail/packages
- Send/deliver FedEx
- Manage mail for CEO/COO
- Manage conference room schedule
- Maintain cleanliness of common areas such as the front lobby, conference rooms, etc.
- Keep kitchens clean to include ensuring equipment is operational
- Refresh inventory daily
- Clean out refrigerators weekly
Qualifications
A high school diploma with 0-2 years of experience is required. A basic knowledge of office procedures, proficient in Microsoft Office and Outlook, effective oral and written communication skills, and the ability to operate a multi-line phone system is also required. The candidate must be able to multi-task, work under pressure, and enforce company policies and procedures.
