We are seeking a reliable, detail-oriented and organized Administrative Associate to join our team. This is a full-time, onsite position offering a Monday through Friday first shift workweek.
Key Responsibilities:

Accounts Payable:
- Manage the complete process for vendor invoices, including receipt, entry into accounting software, and troubleshooting discrepancies.
- Verify invoice details by matching with order confirmations, purchase orders, and packing slips.
- Coordinate with the Receiving department to collect packing slips for invoice reconciliation and research receiving discrepancies.
- Audit the purchase order log for thoroughness and accuracy and record pricing for external processors.
- Review supplier statements to ensure timely and accurate payments.
- Maintain and organize supplier records from start to finish both within the accounting software and paper files.

Administrative Support
- Retrieve, sort, and distribute daily incoming mail.
- Assist receptionist with answering and redirecting phone calls during peak calling times, break times, & absences.
- This position is open to training in additional supportive roles within the company as time permits.
Qualifications:

Education & Experience:
- High School Diploma or equivalent required.
- Associate degree in Accounting, Business Administration, or a related field preferred.
- Minimum of 1 year of experience in administrative position, including accounting duties.
- Knowledge of accounts payable and general accounting practices preferred.
- Proficiency in MS Office (especially Word and Excel) as well as some experience utilizing accounting software; QuickBooks experience is a plus.
- Equivalent combinations of education and experience will be considered.

Skills & Abilities:
- Reliable, dependable, and punctual – able to consistently show up for work and meet deadlines.
- Excellent interpersonal, written, and verbal communication skills.
- Strong computer skills with the ability to navigate multiple systems and manage various tasks simultaneously.
- Exceptional data entry skills, with a strong attention to detail and accuracy.
- Preferred keyboard typing speed of 40 words per minute and 10-key typing of 30 digits per minute. A typing speed and accuracy test, along with a 10-key typing test will be conducted during the interview process using www.typing.com.
- Highly developed organizational and time management skills to handle multiple priorities effectively while meeting deadlines.
- Ability to work in an open office concept environment and maintain focus on assigned tasks regardless of interruptions.
