REPORTS TO: One-Stop Operator
The Administrative Assistant assists with paperwork and activities associated with the One-Stop Operator and the College’s Workforce Development and Lifelong Learning (WDLL) department.
PRINCIPAL RESPONSIBILITIES:
- Coordinates departmental activities and/or projects from inception through completion.
- Provides administrative support to the One-Stop Operator.
- Answers and responds to telephone and e-mail/online inquiries.
- Creates and manages personnel files for instructors and course vendors.
- Secures and maintains proper personnel documentation for the One-Stop Operator.
- Assists with day-to-day administrative responsibilities.
- Prepares departmental reports to track employment and registration trends.
- Assists with data entry into the Destiny One registration system.
- Assists with research for community information.
- Orders and maintains supplies for the department.
- Participates in outreach activities.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS:
- High school diploma or equivalent
- Three (3) years of secretarial experience in a busy office setting
PREFERRED QUALIFICATIONS:
- Associate degree
- Strong Microsoft Office skills with advanced knowledge of and experience using Word and Excel
- Ability to deal positively with a diverse population
- Excellent phone and organizational skills; strong interpersonal and communication skills and the ability to make independent decisions
SUPPLEMENTAL INFORMATION
Duration: Until 8/31/2026, with the potential to extend beyond this date, contingent on funding
SCHEDULE: One (1) part-time position, up to 20 hours per week
Monday to Friday, 8:30 a.m. to 12:30 p.m.
Occasional evenings and weekends as needed
This is a specially funded position, dependent for its existence upon federal, State, or other non-College operating funds, and is not funded pursuant to the regular College budget. Continued employment is always contingent upon satisfactory performance and College needs. Grant funded positions are also contingent upon continued funding. This appointment is for the specified period only. Employment beyond the expiration date of the grant is subject to appropriate provisions of existing collectively bargained agreements in effect at the time for employees covered by those agreements.
