This position coordinates all Diabetes Center functions in an accurate, timely manner to ensure proper flow of customers and to provide staff support on a daily basis. Duties include triage of incoming phone calls, greeting and registration of outpatients, initial and follow up appointment scheduling for consults, classes, Insulin and Pump Clinics. In addition, patient charts are developed and maintained for all services. Schedules and charges are maintained for 13 different staff members (nurse, dietitian and physician) to provide superior customer service.Responsibilities
(40%)* Schedules initial and follow up appointments for Diabetes Center individual consults, classes, pump clinic, Foot Clinic, WellCoach, CGM; secondary responsible for scheduling FNS, MSS, ISS and nutrition patients in a sensitive and confidential manner. Educates customers on Diabetes Center and Food and Nutrition Services programs and procedures to follow for specific tests performed. Schedules follow up appointments or other testing or procedures as ordered by physicians.
(20%)* Accurately registers outpatients seen for Diabetes Center and Food and Nutrition Services appointments. Welcomes patients, verifies information and copies insurance cards when needed. Obtains necessary signature of consent for treatment and insurance.
(20%)* Prepares charts, packets, educational materials needed for classes and clinics. Obtains and files lab, cardiology, x-ray, etc. reports.
(20%)* Coordinates patient�s care with appropriate team member in a friendly, efficient and timely manner. Screens and appropriately refers incoming telephone calls for nurses, dietitians and department manager. Answers questions from callers regarding programs.
OTHER DUTIES AND RESPONSIBILITIES:
Evaluates and provides information to patients about Diabetes Training and Strip funds if needed and other options for assistance.
Assist patients with information about Medicare and Medicaid insurance coverage.
Review insurance rejections or requests with patient, insurance biller and/or customer service representative.
Posts all charges generated from patient visits: consults, inpatients, classes, pump clinic, foot clinic, CGM and WellCoach.
Develops, prepares, types and/or data processes all projects.
Types policy and procedures and tallies productivity reports.
Assists with assembly of patient data for Michigan Department of Community Health (MDCH) and American Association of Diabetes Educators (AADE) certification.
Organizes office, orders needed supplies and transcribes department staff meeting minutes.
Coordinates volunteers in department.
Makes weekly deposits of payments received.
Downloading of medical devices: insulin pump download during Pump Clinic, Continuous Glucose Monitoring Devices, blood glucose meters and printing of reports.
All other duties as assigned.

EXPERIENCE, TRAINING AND SKILLS:
Three (3) years� experience working in the medical center or similar office setting required.
Basic knowledge of personal computer including data entry in IBM software, i.e., Microsoft Word, Access, scheduling program.
Interpersonal skills needed to communicate successfully with individuals and groups.

PHYSICAL/MENTAL REQUIREMENTS AND TYPICAL WORKING CONDITIONS:
