Qualifications
Position Summary:
The Administrative Assistant at Corporate Office will provide administrative support to the Operations department including the Vice President – Operations, Director – Engineering, Director –Procurement and other department teammates as necessary.
Duties/Responsibilities:

Organize and prepare for meetings, including maintaining conference room schedules, arranging catering, gathering documents, attending to logistics of meetings, and preparing meeting minutes when necessary

Assist with travel planning and make international and domestic travel arrangements

Maintain a good working relationship with our travel agency representatives’ vendors

Assist in obtaining visas and/or new passports
-
Complete expense reports for department executives
-
Assist with all expense reports, pre-approvals, and processing for Operations department teammates
-
Manage scheduling for department executives
-
Provide back-up support to Executive Administrative Assistants
-
Assist with preparation of presentations, correspondences and reports.

Provide coverage of company reception desk by greeting visitors, answering and transferring phone calls

Assist other departments and teammates during heavy work periods, as needed
Skills/Abilities:
Required:

Ability to maintain confidentiality at the highest level.

Excellent verbal and written communication skills.

Excellent organizational skills and attention to detail.

Ability to organize and prioritize tasks including delegation of tasks when appropriate.

Ability to organize and coordinate work assignments.

Excellent interpersonal skills and ability to interface with all levels of employees.

Flexible and adaptable in various situations and when interacting with many different personalities.

Microsoft Office Suite Excel, Word and PowerPoint experience.
Preferred:

Knowledge of visas and/or passport process

Advanced Microsoft Office Suite experience
Education and Experience:
-
High school diploma or equivalent
-
Post high school administration education preferred
-
Minimum of 5 years hands-on experience an office setting.
Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.
