Clerical Assistant 1 – Civil Process Unit
Full-time, Hourly
Hourly Range: $16.00 – $20.24/hr
Job Summary
This position serves as the first point of contact to the public for the Office of the Sheriff relating to civil process matters. Professionally assists customers with receiving and processing legal civil service paperwork for delivery by the Milwaukee County Sheriff’s Office in compliance with state statues.
Job Responsibilities
Customer Service - Handle large volumes of in-person and telephone customer interactions. Respond professionally in all interactions, in person, electronically, and via phone.
Transaction and Mail Processing - Review all Civil Process paperwork and accompanying defendant locator information forms for accuracy and completeness. Process large volumes of mail and faxes. Create written correspondence to customers to request further information to complete their requests and/or to return paperwork when necessary. Enter all paperwork into a computerized tracking system.
Cash Handling - Handle large volumes of cash, check, and card transactions. Balance register daily and count money accurately.
Record Keeping and Closings - All legal documents that are served, returned, or expired must be closed. File all legal documents that are closed in the computerized tracking system. This task is done daily in numerical order.
Use of Equipment, Tools, and Materials – Daily operation of computers, copiers, scanners, fax machines, multi-line telephones, and general office equipment.
Other duties as assigned - ability to receive instruction and complete additional tasks as assigned by supervisors.
Minimum Requirements
Current residency within the State of Wisconsin
High School diploma or equivalent
Basic proficiency in of all related computer and software applications, such as Microsoft Word and Excel
Preferred: Cash handling, data entry and customer service.
Physical Demands: Standing, Walking, Sitting, Reaching, Bending/Kneeling, Hearing, Talking, Visual, Typing, Writing, Manual Dexterity, Upper Extremity Repetitive Motion, to lift, carry, push, and pull 25 lbs.
Knowledge, Skills, and Abilities: Knowledge of office/customer service principles, methods, and practices; oral and written communication skills; analytical skills, basic math skills, skill in data entry and in using a personal computer. Plan and work independently in a fast-paced environment; ability to work effectively and harmoniously with others. Ability to make sound decisions according to the policy and procedures of the department without necessity for the continued intervention by a supervisor. Ability to proficiently answer incoming calls and provide accurate information without providing legal advice or insertion of personal opinions.

The non-competitive examination will consist of criteria deemed appropriate by the Director of Human Resources.
