Job Summary
This position exists to perform administrative, fiscal, customer service, and clerical support services for the Aitkin and Garrison Fisheries offices following department programs and policies so that state requirements and federal aid guidelines are met, effective office procedures are carried out, the public is served efficiently, and fisheries resources are managed, protected, sustained, and enhanced for the greatest public benefit. At this level, incumbents process work and make decisions based on clearly defined criteria. They communicate the reasons for decisions and actions, but they generally do not explain or justify procedures. Basic skills in word processing, more advanced knowledge of spreadsheets, databases, and financial software and the use of other office equipment are required, as are customer service and communication skills.
Qualifications
Minimum Qualifications
Knowledge of accounting functions to maintain budgets, pay invoices and track expenses.
Word processing, typing or keyboarding skills sufficient to type narrative and numerical documents efficiently with proper grammar and spelling.
Business English, spelling and grammar sufficient to proofread materials and to ensure the accuracy and completeness of written materials and to communicate with clientele.
Mathematics skills sufficient to calculate, review, and reconcile data and balance accounts.
Basic data entry ability and database management / spreadsheet software skills to record budget data and maintain accurate records and reports.
Customer service and communication skills to provide information to the public and other employees effectively and courteously in person and by phone calls and email.
File management skills sufficient to ensure document retrieval in an efficient and accurate manner.
Skill in using record keeping systems sufficient to maintain administrative and fiscal data and to prepare reports.
Knowledge of general office equipment and procedures such as basic math, typing, data entry and related functions.
Must possess strong organizational and interpersonal skills to prioritize and meet deadlines.
Preferred Qualifications
One year of clerical experience providing a variety of office services for staff.
Experience using Microsoft Office Suite such as Excel, Word and Access software to compile, manipulate, store and retrieve data.
Experience using internet communication tools such as Microsoft Outlook and Teams.
Experience using Adobe Acrobat Pro for document preparation and dissemination.
Experience in accounting, fiscal budgets, or state accounting procedures and software such as SWIFT.
Experience retrieving, archiving, and converting documents and electronic materials of different formats.
Demonstrated organizational skills and the ability to handle a diverse workload while maintaining accuracy.
Additional Requirements
This position requires an unrestricted Class D Driver's License with a clear driving record.
