Job Summary: As a Self Storage Customer Service Representative, you will play a vital role in providing exceptional service to customers who rent storage units at our facility. Your primary responsibility will be to ensure a positive customer experience by assisting customers with their inquiries, facilitating the rental process, managing accounts, and resolving any issues that may arise. Your excellent communication and problem-solving skills will contribute to maintaining high customer satisfaction levels and fostering long-term customer relationships.
Key Responsibilities: Customer Assistance: Greet customers, answer their questions, and provide information about storage unit sizes, availability, pricing, and facility features. Assist customers in choosing the most suitable storage solution based on their needs.
Rental Process: Facilitate the rental process by explaining lease terms and agreements, obtaining required documentation, and accurately completing rental contracts. Coordinate move-ins and move-outs, ensuring all necessary paperwork and payments are processed efficiently.
Account Management: Maintain accurate customer records and account information in the database. Handle billing inquiries, process payments, and provide account updates as necessary. Manage and resolve customer concerns related to billing, late fees, or other account-related matters.
Facility Operations: Oversee day-to-day operations of the storage facility, including monitoring access to units, maintaining cleanliness and organization, and ensuring proper functioning of security systems. Perform routine inspections and report any maintenance or security issues to the appropriate personnel.
Sales and Upselling: Identify opportunities to upsell additional products or services, such as packing supplies, insurance coverage, or larger storage units. Promote special offers, discounts, or loyalty programs to maximize customer satisfaction and revenue generation.
Customer Conflict Resolution: Address customer complaints, concerns, or disputes in a professional and timely manner. Work towards resolving issues to the customer's satisfaction, escalating matters as needed to the supervisor or management.
Documentation and Reporting: Maintain accurate records of customer interactions, rental agreements, payments, and other relevant documentation. Generate reports as required by management to track customer inquiries, occupancy rates, revenue, and other key performance indicators.
Safety and Security: Enforce facility rules and policies to ensure the safety and security of customers, their belongings, and the premises. Monitor security cameras, conduct regular security checks, and follow established procedures in case of emergencies.
Qualifications:
- Previous customer service experience in a retail or service-oriented environment
- Strong interpersonal and communication skills
- Excellent problem-solving and conflict resolution abilities
- Proficiency in using computer systems, databases, and basic office software
- Ability to multitask, prioritize, and work in a fast-paced environment
- Attention to detail and accuracy in handling customer accounts and documentation
- Knowledge of storage industry practices and terminology is a plus
- Availability to work flexible hours, including weekends and holidays, as per facility needs
