Position Overview: We are seeking a dedicated and organized Administrative Assistant to support our operations and deliver outstanding service to our customers. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Customer Interaction:
- Greet and assist customers in a friendly and professional manner.
- Answer phone calls, schedule appointments, and manage customer inquiries.
- Provide customers with updates on their vehicle repairs and service status.
- Administrative Support:
- Maintain accurate records of customer information, service history, and repair orders.
- Prepare and process invoices, payments, and other financial documentation.
- Assist in managing inventory levels and ordering necessary supplies.
- Office Management:
- Organize and maintain the front office and waiting area to ensure a welcoming environment.
- Coordinate with technicians and management to streamline operations and enhance service delivery.
- Perform general clerical duties, including filing, data entry, and correspondence.
- Customer Relationship Management:
- Follow up with customers post-service to ensure satisfaction and gather feedback.
- Assist in implementing marketing initiatives to promote services and special offers.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as an administrative assistant or in a similar role, preferably in the automotive or repair industry.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with automotive management software.
- Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills.
