Miramont is seeking a Front Desk Concierge to play a vital role in fostering exceptional relationships with our members and their guests, as the front desk serves as the central hub of all Club activities. This position is responsible for promoting and booking guest rooms while providing support to the Lead Concierge, Clubhouse Manager, and other Club Managers as needed. The ideal Concierge will possess a thorough understanding of all Club operations and consistently go above and beyond to exceed the expectations of members and guests through outstanding service and attention to detail.
Job Functions
- Warmly greets all members and guests upon arrival and departure from the Club.
- Addresses and fulfills members' requests, including placing phone calls, handling letters and managing packages.
- Resolves member and guest issues promptly, efficiently, and courteously to ensure satisfaction.
- Monitors the flow of incoming and outgoing traffic at the Club, reporting any suspicious activity to management.
- Maintains knowledge of the Club’s telephone and voicemail systems to assist with inquiries.
- Answers incoming calls, relays messages, and provides necessary information to members and guests.
- Offers concierge services to guests, assisting with various requests and ensuring a pleasant experience.
- Accepts and manages dining room reservations efficiently.
- Handles hotel and room reservations, cancellations, and no-shows, ensuring accurate records.
- Verifies guest room readiness, ensuring all rooms are prepared for incoming guests.
- Communicates and confirms room status with the Housekeeping team for smooth check-ins/check-outs.
- Manages the sign-in and sign-out of Club keys, ensuring proper documentation in the log book.
- Provides wake-up calls to overnight guests as needed, ensuring a seamless experience.
- Verifies and ensures all guest room charges are billed correctly and perform accurate night audits.
- Expedites member and guest check-ins and departures for efficiency.
- Fosters effective communication and collaboration with all departments within the Club.
- Reports any issues to Housekeeping and Engineering promptly for resolution.
- Performs general administrative tasks, including word processing, filing, and operating copy and fax machines.
- Greets job applicants and assist with application forms and necessary documentation.
- Handles member-family relations duties, such as managing obituaries, preparing thank-you letters, get-well cards, birthday greetings, and flowers.
- Attends assigned meetings to stay informed on Club updates.
- Supports various departments with projects, such as preparing statements, newsletters, marketing materials, and meeting resources.
- Manages lost and found items, ensuring proper registration and retrieval.
- Stamps, sorts, and distributes incoming mail.
- Assists with the receipt and distribution of magazines and newspapers.
- Complete other tasks as assigned by the Lead Concierge, Clubhouse Manager, or Management.
Job Qualifications
- Good attitude and highly motivated self-starter.
- High School diploma or equivalent.
- College Education preferred.
- Hotel, private club, concierge or receptionist experience preferred.
- Proficiency in Microsoft Office (PowerPoint, Excel, Word, Outlook).
- Extremely strong communication skills using spoken and written words in a professional manner to members, guests and staff.
- Proficient with English grammar and possesses skills in news-style writing, feature writing,
copywriting, proofreading and editing.
- Must be able to handle stress in a healthy and professional manner.
- Must be able to complete tasks in an accurate and timely manner.
- Has the ability to learn new technologies as necessary.
- Knowledge of and ability to perform required role during emergency situations.
- Ability to keep information confidential and operate with honesty and integrity.
Physical Requirements
- Must be able to stand; walk; bend; and use hands to finger, handle or feel.
- Must be able to reach with hands and arms; talk and hear.
- Must be able to occasionally lift and/or move up to 30 pounds.
- Must be able to sit for prolonged periods of time.
