The AP/Office Manager position is a full-time position reporting to the Director of Finance. This position is responsible for the daily functions of managing and administering benefits, leave, pay, accounts payable, HR, and HRIS systems. As well as supporting management with enforcing company policies and practices.


Duties/Responsibilities:

  • Proven knowledge and experience with QuickBooks software for ownership of Accounts Payable and Receivable and purchasing functions.
  • Serves as bank liaison with daily banking deposits.
  • Oversees collection and reconciliation of monies from admission, membership, and retail sales.
  • Prepares monthly Financial Statements for department directors/managers.
  • Keeps track of all organization credit card spending and reconciles monthly statement.
  • Assists with organization of financial records for governmental grants and foundation reports.
  • Assists with preparing required reports for Board of Director’s meetings and acts as Board Liaison for scheduled meetings.
  • Works with Director of Operations and President to draft and maintain the annual budget.
  • Assist with the collection of data for the annual financial audit.
  • Assists with employee insurance sign-ups and monitors accordingly.
  • Prepares and maintains payroll records in a timely and accurate manner.
  • Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments. This may include safety training, anti-harassment training, professional licensure, exams and certifications, professional development, and other applicable training.
  • Collaborate with department managers to recruit, interview, and facilitate the hiring of qualified job applicants for open positions.
  • Conducts or acquires background checks and employee eligibility verifications.
  • Responsible for scheduling new hire orientation and ensuring occurs in timely manner.
  • Performs routine tasks required to administer and execute human resource programs including, but not limited to compensation, benefits, and leave.
  • Process bi-weekly payroll, to include maintaining employee information (deductions, taxes, garnishments, direct deposits, and support orders), reviewing earnings, processing payroll/financial reports.
  • Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
  • Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance and recommends routine updates to employee handbook.
  • Assists with and processes paperwork for letters of agreements (LOAs) with artists, securing W9s and ensuring timely payment for services.
  • Maintains office supplies, oversees vendor maintenance of copiers and other office equipment, and assist with internal catering orders and other administrative duties supporting the staff.
  • Performs other duties as assigned, primarily supporting the Director of Finance and President in office and administrative support.
