This position is responsible for the proper accounting of accounts payable, petty cash accounts and the College’s P-Card system.  Payroll processing and time card management is also completed on a bi-weekly basis by the incumbent, in coordination with Human Resources.  

 

Responsibilities and Duties – Accounts Payable: 

  • Manage College invoices to ensure:
    1. Appropriate approvals are obtained and evident, costs are accurate, Purchase Order policies are followed, open-invoice reports are generated weekly and proper recording occurs in the correct accounting cycle
  • Resolve invoicing errors with departmental help and through vendor relationships 
  • Ensure accuracy in the accounting system
  • Issue AP checks for signature, prepare and upload Positive Pay file for bank
  • Manage check exceptions, such as voids or reissues
  • Prepare AP posting report for Comptroller’s review
  • Maintain accounts payable filing system
  • Manage petty cash box including monthly reconciliation
  • Prepare 1099 tax forms annually
  • Manage College P-Card system, including doc verification and timely recording of transactions in the accounting software through export
  • Ensure proper W-9s are on file for new vendors 
  • Other duties as assigned

Responsibilities and Duties – Payroll (Bi-weekly): 

  • Review hourly timesheets for accuracy
  • Verify overtime and straight-time overtime as necessary
  • Enter payroll adjustments due to late/missed timecards
  • Process employee expense reimbursements and creates payment through the payroll system
  • Coordinate with Human Resources on changes that affect the current pay period
  • Review the payroll preview for accuracy before submitting for approval
  • Submit payroll via the payroll system
  • Download the general ledger interface from the payroll system to record the bi-weekly payroll journal entry into the accounting system.
  • Create spreadsheet for payroll check distribution and maintain all logs
  • Other duties as assigned

 

Physical Demands: 

While performing the duties of this job, the employee is regularly required to sit, use hands, reach with arms and talk or hear.   The employee is occasionally required to stand, walk and stoop or kneel.  The employee must lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision.

 

Required Education and Experience: 

  • Associate Degree in accounting preferred
  • At least three years of accounts payable experience using computerized systems
  • Understanding of accruals, prepaids and encumbrance systems
  • Knowledge of general ledger and adjusting journal entries preferred
  • Experience preparing 1099 tax forms required
  • Experience using Microsoft Office Software
  • Experience with Blackbaud accounting system a plus
  • Nonprofit experience a plus

  • Excellent communication and interpersonal skills and the ability to establish and maintain effective working relationships with students, faculty, and staff. 
  • Ability to effectively present information and respond to questions from managers, employees, service providers, outside auditors and vendors, students, parents, and banks
