Job Summary:
The AR/AP Specialist at MMC Land Management plays a crucial role in ensuring accurate and timely billing for landscaping services, including maintenance, builder services, and seasonal activity/projects. This position involves preparing invoices, tracking payments, and coordinating with clients and internal teams to ensure smooth financial transactions
Key Responsibilities:
- Invoice Preparation & Processing:
- Generate and issue invoices for land management services, including one-time projects and recurring maintenance contracts.
- Ensure invoices reflect accurate labor, materials, and service costs.
- Apply any discounts, promotions, or special agreements as needed.
- Accounts Receivable Management:
- Track and manage outstanding invoices, sending payment reminders and contacting clients when necessary.
- Reconcile payments with invoices to ensure accuracy.
- Lead collection efforts for overdue accounts while maintaining positive customer relationships.
- Compliance & Documentation:
- Ensure all invoices comply with local tax regulations and company policies.
- Maintain organized records of invoices, contracts, and payment receipts.
- Prepare reports on billing trends, revenue, and outstanding balances for management.
- Customer Support & Communication:
- Respond to client inquiries regarding invoices, payments, and service charges.
- Work closely with the sales and operations teams to clarify project details and pricing.
- Address and resolve billing disputes professionally and efficiently.
- Credit Card and Fuel Card Management:
- Perform routine review of activity to ensure compliance with business procedures.
- Input activity into Quickbooks to ensure appropriate classifications.
- Additional Accounting Functions:
- Ad hoc reporting as needed.
Qualifications & Skills:
- Experience in invoicing, billing, or accounts receivable, preferably in the landscaping, construction, or service industry.
- Proficient in accounting software (e.g., QuickBooks Online and Aspire).
- Proficient in Microsoft Office and Excel.
- Strong attention to detail and accuracy in financial transactions.
- Excellent communication and customer service skills.
- Ability to handle sensitive financial information with confidentiality.
- Bachelor’s degree in accounting or commensurate experience.
Preferred Skills:
- Experience with service-based or contract-based billing.
- Familiarity with landscaping or like service industry pricing models (e.g., per-project, per-hour, or seasonal contracts).
- Strong organizational and time-management skills.
- Sales tax knowledge is a plus.
- Payroll processing experience is a plus
