Position Summary:
We are seeking a Front Desk Agent to join our Front Desk team in our law firm in Los Angeles. This role is crucial in creating a welcoming atmosphere and ensuring smooth office operations. Front Desk Agents are the first point of contact for clients. The ideal candidate must be an expert communicator, reliable, and possess excellent interpersonal skills to sustain a professional front desk at all times. As the Front Desk Agent you play a critical support role on the Front Desk team managing customers and communicating with the Immigration and Criminal Departments. Responsibilities:
Client Relations: Leading the experience for our legal clients and team maintaining carrying out duties with exceptional professionalism:
- Serve as the expediting first point of contact for onsite clients, visitors, and team members greeting and directing all communications.
- Direct candidates to conference rooms notifying colleagues ensuring customer satisfaction.
- Digitize incoming case data to case management software; maintaining strict accuracy, deadlines and confidentiality.
- Primary contact for IT intervention; ensuring that employees needs are met by contacting the appropriate resource.
- Connect with walk-in clients to upload any documents provided to the appropriate system or case file.
Documentation Assistance: Securing and filing vital legal documents for the legal process.
- Provide translation assistance during client meetings with attorneys, ensuring clear and accurate communication when necessary.
- Prepare signatures and necessary documents in advance for clients or staff pickup the following day, ensuring accuracy and readiness.
- File physical documents and timely prepare outgoing correspondence, ensuring accuracy and proper organization.
- Assemble and mail out FOIA, USCIS, and EOIR petition and result packets accurately and in a timely manner ensuring compliance with any and all court deadlines.
- Meet with clients to gather necessary documents and obtain required form signatures, ensuring accuracy and completeness
- Be the solution: Handle guest concerns and provide resolve to their satisfaction
- Understand that teamwork is key: Work hand in hand with your team to maintain a welcoming, friendly, and clean restaurant environment
- Assist in special projects as assigned, ensuring smooth execution in collaboration with the Front Desk Lead and other departments.
- Ensure the office is properly set up each day by turning on lights, TVs, and AC units to maintain a comfortable and professional environment.
Office Functions: ensuring smooth daily operations.
- Maintain an efficient, tidy and professional reception area
- Complete office setup, maintenance, and vendor-related tasks as assigned.
- Restock kitchen supplies and printer paper in non-sales departments to ensure smooth daily operations
- Monitor and address supply requests, ensuring necessary items are restocked and available for office operations.
- Open and close the office in accordance with designated office hours, ensuring all necessary setup and security protocols are followed.
- Perform other administrative duties as assigned
Required Skills and Qualifications:
- 2 years of experience with the job title receptionist, front desk, or similar position.
- Experience working in law firm operations or corporate environment.
- Able to work onsite and accommodate a schedule with weekends.
- Ability to multitask effectively in a fast-paced environment.
- Excellent communication and organizational skills.
- Strong customer service skills.
- Tech savvy with usage of Google Suite, Case management software.
- Strong organizational abilities and attention to detail.
- Professional, warm and proactive demeanour.
- Passion for helping and serving others (customers and fellow team members).
- Committed to continuous improvement in order to maintain strong operational sufficiency with front desk, mail and officer operations.
- Communicate effectively and anticipate customer needs.
- A desire to learn and grow.
- Physical Requirements: Ability to lift up to 20 pounds.

The estimated salary range for this position is $21.00 USD to $26.00 USD per hour. This position is eligible for overtime. Actual salary may vary depending on job-related factors, including knowledge, skills, experience, and location.
