You'll be onsite five days a week, working in a vibrant, collaborative environment designed to inspire connection, creativity, and a great workday experience. The position reports to the Senior Human Resources Business Partner.

- Oversee the day-to-day operations of the Phoenix office to ensure a smooth and efficient work environment
- Coordinate with local vendors to schedule building maintenance and repairs as needed
- Be onsite to support inspections, service appointments, and building access requests
- Manage kitchen inventory, placing orders and stocking snacks, beverages, and other essentials
- Collect, sort, and distribute mail and deliveries (USPS, FedEx, etc.)
- Maintain office and HR supply inventories, including organization of storage areas
- Track and manage the office budget, ensuring expenses remain cost-effective and aligned with financial guidelines
- Welcome guests and coordinate with internal teams to support visitor logistics and onsite meetings
- Assist with onboarding support, including workspace setup, equipment coordination, and building access for new hires
- Support facilities and security management, including maintaining badge access and communicating with building/property management
- Plan and coordinate internal office events and meetings, including room reservations, catering, and logistics
- Help drive employee experience initiatives, such as team celebrations, culture events, and recognition effort
- Ensure the office remains clean, organized, and presentable, working closely with cleaning services as needed
- Provide basic care for office plants, including watering and fertilizing on a regular schedule
What are we looking for?
- High school diploma or equivalent; additional certifications in office management, administration, or hospitality are a plus
- 1–2 years of experience in office management, administrative support, or a related role
- Familiarity with vendor coordination, and basic facilities management is preferred
- Strong organizational and multitasking skills, with the ability to prioritize and manage time effectively in a fast-paced environment
- A “get-it-done” attitude with the initiative to solve problems and take ownership of responsibilities
- Exceptional communication and interpersonal skills to engage with employees, vendors, and visitors professionally and warmly
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office systems
- Comfort working independently and proactively managing office needs
- Experience coordinating office events, team gatherings, or culture-building activities is a plus
