Job Overview
We are seeking a detail-oriented and organized Intake Specialist to join our team. The ideal candidate will play a crucial role in managing the initial stages of client interactions, ensuring that all necessary information is collected efficiently and accurately. This position requires strong clerical and administrative skills, as well as excellent phone etiquette. The Intake Specialist will be responsible for maintaining an organized front desk environment and providing exceptional service to clients.
Responsibilities
- Greet clients warmly and professionally, creating a welcoming atmosphere.
- Manage incoming calls, providing information and assistance while maintaining a high level of phone etiquette.
- Collect and verify client information, ensuring all necessary documentation is completed accurately.
- Maintain organized files and records, both physical and electronic, for easy retrieval and reference.
- Assist in case management by scheduling appointments and coordinating with other staff members as needed.
- Proofread documents for accuracy before finalizing any client-related paperwork.
- Support administrative tasks as required, contributing to the overall efficiency of the office operations.
- Collaborate with team members to ensure seamless communication and workflow within the office.
Experience
- Previous experience is preferred but not required.
- High school diploma or GED required.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Proficient in clerical duties including filing, data entry, and document management.
- Familiarity with calendar management tools and scheduling software is advantageous.
- Excellent proofreading skills to ensure all documentation is error-free.
- Comfortable using computerized systems for record keeping and communication.
