Job Title: Administrative Assistant Bookkeeper (Restaurant Industry)
Job Summary:
We are looking for a highly organized and detail-oriented Administrative Assistant Bookkeeper to join our restaurant team. This role is essential for maintaining the financial health of our restaurant while providing critical administrative support to ensure smooth daily operations. The ideal candidate will have experience in bookkeeping, a strong understanding of restaurant operations, and the ability to thrive in a fast-paced, dynamic environment.
Key Responsibilities:
Bookkeeping Duties:
1. Maintain accurate financial records for the restaurant, including daily sales, expenses, and cash flow.
2. Process accounts payable (e.g., vendor invoices, supplier payments) and accounts receivable (e.g., catering deposits, event payments).
3. Reconcile daily cash, credit card, and POS (Point of Sale) system transactions.
4. Track and manage inventory costs, food and beverage expenses, and payroll.
5. Prepare and submit tax filings, sales tax reports, and other financial documents as required.
6. Assist in preparing monthly profit and loss (P&L) statements and balance sheets.
7. Monitor and manage petty cash for daily operational needs.
8. Ensure compliance with local, state, and federal financial regulations.
9. Assist with payroll processing, including tracking employee hours, tips, and deductions.
Administrative Duties:
1. Provide general administrative support to the restaurant manager and owner.
2. Manage employee schedules, time-off requests, and attendance records.
3. Maintain and organize restaurant files, including vendor contracts, employee records, and financial documents.
4. Handle phone calls, emails, and customer inquiries in a professional manner.
5. Assist with hiring and onboarding new employees, including paperwork and training coordination.
6. Coordinate with vendors and suppliers for orders, deliveries, and invoices. 7. Manage office supplies and place orders as needed.
8. Perform other administrative tasks as assigned by management.
Qualifications:
- Proven experience as a bookkeeper or administrative assistant, preferably in the restaurant or hospitality industry.
- Strong knowledge of accounting principles and practices.
- Proficiency in accounting software (e.g., QuickBooks, NetSuite) and restaurant POS systems (e.g., Toast).
- Familiarity with payroll processing and inventory management.
- Excellent organizational and time-management skills. Strong attention to detail and accuracy.
- Good communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- High school diploma or equivalent; additional qualifications in accounting or administration are a plus.
Skills and Competencies:
- Ability to work in a fast-paced restaurant environment.
- Strong problem-solving skills and the ability to prioritize tasks.
- Knowledge of restaurant-specific financial practices (e.g., tracking food costs, managing tips, etc.).
