Assistant Project Manager (Construction)
This role is responsible for helping to manage and coordinate company projects from start to finish by supporting project managers in all activities and approvals. This includes material and shop drawing submittals/approvals, safety plan coordination, schedule coordination, milestone meeting scheduling, collaboration with field, GC and suppliers, documentation of job activities and conditions, and the efficient execution of an exit strategy and job completion.
The successful Assistant Project Manager will have a strong foundation of construction methodologies and procedures and a willingness to learn and develop. Further, the assistant project manager should have a curious, analytical mind and an exceptional attention to detail as well as great organizational and communication skills.
The goal of the assistant project manager will be to help ensure all projects are delivered on time and profitably while acquiring the knowledge and skills to progress in their career development.
Responsibilities
- Read and understand the owner's contract including notice and dispute provisions.
- Collaborate with project managers, engineers, architects, suppliers, and general contractors etc. to understand the specifications of the project.
- Review project management procedures with all involved parties, i.e., submittals, invoices, RFIs, change orders, close-out documents, etc.
- Schedule and facilitate formal, comprehensive pre-job planning meetings to review estimates, plans and specs with project managers, estimators, and superintendents.
- Coordinate the submittals of all materials, safety plans and shop drawings for approval. Follow up in a consistent and timely manner to ensure approval within the necessary lead times to keep the project on schedule.
- Help the project manager procure and arrange bundling and delivery of needed materials based on the sequencing plan. Help coordinate and communicate the information to all parties.
- Document needed resources (manpower, equipment, and materials) from start to finish with attention to budgetary limitations. Help the project manager to track and plan resources.
- Collaborate with Field team in pre-mobilization planning meetings.
- Manage the set-up of productivity reporting. Communicate productivity goals, milestones and critical path to the superintendent who will communicate these goals to foremen and crew.
- Help review all scope/spec revisions for changes in cost and schedule. Proactively manage the change-order process and work closely with the project manager and contract administrator to ensure documentation is organized and complete.
- Monitor weekly labor productivity reports. Work with the field on any reporting issues.
- Maintain up-to-date progress information, including labor and material cost data.
- Coordinate with purchasing and accounting to maintain accurate cost reports.
- Help the project manager maintain a comprehensive schedule from award through completion.
- Help update the schedule often with the superintendent to accurately reflect actual progress.
- Review short interval schedule with field team and management.
- Review shop drawings and submittals for adherence to the contract drawings and specifications.
- Help report issues and document delays to the owner and GC on a regular basis.
- Maintain accurate project documentation and organized job files.
- Ensure punch list is performed in a timely manner and all closeout procedures are completed.
- Schedule a post-job review on every project to identify and document "lessons learned" as well as "project victories."
Requirements and Success Characteristics
- Basic understanding of construction procedures, material procurement and installation and project management principles
- Strong knowledge of MS Office
- Familiarity with construction/ project management software
- Strong communication and negotiation skills
- Excellent organizational and time-management skills
- A team player with a strong work ethic and eagerness to learn.
- BS/BA in engineering, building science or relevant field preferred.
- PMP or equivalent certification will be an advantage.
