About the Position

This Position is ONLY Open to Montgomery County Government Employees:

(1) Current Montgomery County Government employees; Any Department;

(2) Montgomery County employees who were affected by reduction-in-force and currently have RIF priority rights;

(3) Active Montgomery County local fire and rescue department volunteers with at least 50 points under the length of service award program (LOSAP); or (4) Active Project SEARCH Interns or former Montgomery County Customized Employment Public Interns, or Project SEARCH Interns within 24 months of completion of internship.


The salary range for this position is:
$55,918 - $80,953.


WHO WE ARE


The Montgomery County Department of Correction and Rehabilitation is a civilian agency managed by professionals in the correctional field. The Department also is responsible for administrative functions for stakeholders internally and for constituent relationships externally.


WHO WE ARE LOOKING FOR


The Department of Corrections & Rehabilitation (DOCR) is seeking an Office Services Coordinator (OSC) (Download PDF reader) to provide administrative assistance for many of the sections in the Management Services Division, such as Procurement, Financials, Budgeting, Human Resources, Employee Support Unit, Training, Information Technology, Health, Safety and Employee Welfare, etc. The position will report to the Division Chief of the Management Services Division helping with special projects.


A professional who will be responsible for providing administrative assistance in a high demand, multi-task-oriented working environment. The incumbent in this position needs to demonstrate the ability to deal tactfully and equitably with people. Effectively communicate to a diverse population of clients while establishing and maintain effective working relationships with representatives of various public safety organizations, private organizations and the general public. The employee must have the ability to attend meetings or perform other assignments at locations outside of the office as needed. A County vehicle will be provided as necessary.


The person in this position will primarily work with the workers’ compensation, light duty, safety committee under the direction of the Health, Safety and Welfare administrator and will work with the Risk Management and Procurement administrator updating contracts using templates, tracking contracts, and certificates of insurance, etc.


This position is located within the administrative area of the Montgomery County Correctional Facility in Boyds, Maryland and is eligible for some telework opportunity.

What You'll Be Doing

  • The incumbent will be responsible for setting up and maintaining files including archive files.
  • Arranging meetings and managing calendars.
  • Preparing a variety of documents such as letters, memoranda and spreadsheets using Microsoft Office Suite.
  • Attending meetings and provide summary notes for distribution.
  • Entering data in ERP-Oracle to process invoices.
  • Create requisitions and run various reports.
  • Purchasing items using P-card.
  • Assisting with financial and administrative functions relating to DOCR fleet of vehicles.
  • Updating various data bases.
  • Delivering and/or picking up items from the County’s central mail room.
  • Making recommendations for office automation.

Minimum Qualifications

Experience: Four (4) years of progressively responsible office support experience.


Education
: Graduation from high school or High School Certificate of completion recognized in the State of Maryland.


Equivalency
: An equivalent combination of education and work experience may be substituted.

Preferred Criteria, Interview Preferences

  • Experience working with FMLA policies, procedures, and processes.
  • Experience with workers’ compensation procedures and processes.
  • Experience working with and processing confidential data.
  • Knowledge or experience in methods, principles and techniques associated with research, data collection and reconciliation and report writing.
  • Experience analysing and reviewing data.
  • Experience at an intermediate or advanced level using Outlook, Word, and basic level to intermediate level using Excel, Access and PowerPoint. Navigating the internet in an advanced level.
  • Knowledge or experience in inputting, navigation and report generation in Oracle.
  • Experience providing multiple administrative functions or support in a time sensitive environment requiring confidentiality.
  • Experience providing administrative support to multiple people within an organization and/or work unit.
