A wealth management firm is seeking a highly organized and detail-oriented Administrative Assistant to support their team of financial advisors. This role requires discretion, professionalism, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
- Manage and maintain calendars, schedule client meetings, and coordinate appointments for financial advisors.
- Prepare and organize client documentation, reports, and presentations.
- Handle confidential and sensitive information with discretion.
- Serve as a primary point of contact for clients, providing exceptional service and responding to inquiries in a timely manner.
- Facilitate communication between advisors and clients, ensuring follow-ups and action items are completed.
- Assist with the preparation and distribution of client correspondence, statements, and investment summaries.
- Maintain client records and ensure all documentation is accurately filed and updated in CRM systems.
- Assist in tracking and processing account changes, wire transfers, and other financial transactions as directed by advisors.
- Assist with travel arrangements, expense reports, and other administrative duties for the team.
- Help plan and coordinate client events, meetings, and firm-related functions.
- Order office supplies and maintain an organized and professional workspace.
Qualifications & Skills:
- Experience: 2-4 years of administrative experience, preferably in financial services, wealth management, or a similar industry.
- Education: Bachelor’s degree required.
- Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with CRM systems (e.g., Salesforce, Redtail) is a plus.
- Organizational Skills: Strong attention to detail, ability to multitask, and excellent time management.
- Communication: Professional written and verbal communication skills with a client-first approach.
- Professionalism & Discretion: Ability to handle sensitive financial and client information with the utmost confidentiality.
- Adaptability: Comfortable working in a fast-paced environment and able to anticipate the needs of advisors and clients.
Salary : $55,000 - $70,000
