A wealth management firm is seeking a highly organized and detail-oriented Administrative Assistant to support their team of financial advisors. The ideal candidate will possess strong administrative skills, excellent communication abilities, and a proactive mindset to ensure seamless daily operations. This role requires discretion, professionalism, and the ability to manage multiple tasks in a fast-paced environment.


Key Responsibilities:

  • Manage and maintain calendars, schedule client meetings, and coordinate appointments for financial advisors.
  • Prepare and organize client documentation, reports, and presentations.
  • Handle confidential and sensitive information with discretion.
  • Serve as a primary point of contact for clients, providing exceptional service and responding to inquiries in a timely manner.
  • Facilitate communication between advisors and clients, ensuring follow-ups and action items are completed.
  • Assist with the preparation and distribution of client correspondence, statements, and investment summaries.
  • Maintain client records and ensure all documentation is accurately filed and updated in CRM systems.
  • Assist in tracking and processing account changes, wire transfers, and other financial transactions as directed by advisors.
  • Assist with travel arrangements, expense reports, and other administrative duties for the team.
  • Help plan and coordinate client events, meetings, and firm-related functions.
  • Order office supplies and maintain an organized and professional workspace.


Qualifications & Skills:

  • Experience: 2-4 years of administrative experience, preferably in financial services, wealth management, or a similar industry.
  • Education: Bachelor’s degree required.
  • Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with CRM systems (e.g., Salesforce, Redtail) is a plus.
  • Organizational Skills: Strong attention to detail, ability to multitask, and excellent time management.
  • Communication: Professional written and verbal communication skills with a client-first approach.
  • Professionalism & Discretion: Ability to handle sensitive financial and client information with the utmost confidentiality.
  • Adaptability: Comfortable working in a fast-paced environment and able to anticipate the needs of advisors and clients.

Salary : $55,000 - $70,000
