Job Summary:
We are seeking a detail-oriented and highly organized Front Desk Administrator to support our insurance operations. This individual will be responsible for assisting with daily administrative tasks, including managing insurance requests, processing mail, and ensuring smooth communication between teams. The ideal candidate is a proactive problem solver with strong multitasking abilities, who thrives in a fast-paced, team-oriented environment.
Key Responsibilities:
1. Client Call Management:
· Answer all incoming calls to the office in a professional and courteous manner.
· Direct clients to their assigned representatives or the appropriate team based on their needs.
· Handles basic inquiries and escalate complex issues to the appropriate staff member.
2. Insurance Operations Support:
· Review and process certificates of insurance requests.
· Route policy information and insurance documents to the appropriate team members accurately and in a timely manner.
3. Mail Processing:
· Sort, scan, and distribute incoming mail to the correct department team member.
· Prepare and send outgoing mail, including tracking and ensuring timely delivery.
4. Digital Office Marketing:
· Utilize TruDigital, Canva, Workvivo,and/or other marketing tools to manage internal office communications.
· Update office monitors with announcements, events, and company updates.
5. Event Support:
· Assist with the execution of office events, including staff meetings, client events, and holiday celebrations.
· Coordinate logistics such as catering, supplies, and decorations.
6. General Administrative Tasks:
· Maintain common office areas, ensuring cleanliness and organization (e.g., breakrooms, kitchens, conference rooms).
· Manage inventory for office supplies and place orders as needed.
· Assist team members with ad hoc tasks and special projects as assigned
7. Housekeeping & Office Organization:
· Ensure office housekeeping tasks are completed, such as managing recycling, restocking supplies, and maintaining a tidy workspace.
· Serve as a point of contact for office-related vendors and service providers.

Requirements
Qualifications:
High school diploma or equivalent (associate or bachelor’s degree preferred).
2 years of administrative experience, preferably in the insurance industry.
Strong organizational and time management skills with excellent attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Zoom products.
Excellent communication skills, both written and verbal.
Ability to work independently and collaboratively in a team environment.
